Job Description:
We are seeking a highly organized and customer-focused HVAC Dispatch Coordinator to join our team. In this role, you will be responsible for efficiently managing service calls, scheduling appointments, and ensuring that HVAC technicians are dispatched to the right locations at the right times. As well as ordering parts from vendors. The ideal candidate will be detail-oriented, possess excellent communication skills, and have a customer-first mindset.
Key Responsibilities:
- Answer incoming service calls and accurately gather customer information.
- Schedule appointments for HVAC technicians based on priority, location, and availability.
- Assign work orders to the appropriate technician while ensuring effective routing.
- Track and monitor service calls to ensure timely response and completion.
- Communicate with customers regarding service updates, appointment changes, and technician availability.
- Manage and update the dispatch system with accurate information.
- Coordinate with technicians to resolve scheduling issues and ensure customer satisfaction.
- Provide excellent customer service by addressing inquiries, complaints, and service-related issues.
- Assist with parts ordering.
Qualifications:
- Previous experience in dispatch, customer service, or HVAC-related roles preferred.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to multitask and prioritize in a fast-paced environment.
- Proficient in using dispatch software and Microsoft Office Suite.
- Knowledge of HVAC systems or willingness to learn is a plus.
