Job Description:
To fill this full-time Office Manager position, we are seeking an organized and detail-oriented Office Manager to oversee office operations and ensure smooth and efficient daily activities. This role will be responsible for managing administrative tasks, including answering phones, handling invoicing, filing, preparing statements and reports, managing marketing initiatives, overseeing social media presence, and enforcing company policies. The ideal candidate will be proactive, have strong communication skills, and possess a solid understanding of office management and administrative functions. They should be comfortable answering inbound phone calls and possess a friendly demeanor so they can effectively interact with office visitors and in-coming calls.

Key Responsibilities:
1) Phone Management:
- Answer and direct incoming phone calls in a professional manner.
- Respond to inquiries and provide necessary information or escalate to relevant employees
2) Invoicing & Billing:
- Prepare and send accurate invoices to clients.
- Track payments, follow up on overdue accounts, and resolve billing discrepancies.
- Bank Deposits
3) Filing & Documentation:
- Maintain and organize both physical and digital files in an orderly manner.
- Organizing project file structure
- Ensure that all office documentation is properly filed and easily accessible.
4) Statements & Reports:
- Prepare regular financial statements and reports for management review.
- Analyze data and present findings in a clear, concise format.
5) Marketing & Social Media:
- Assist with marketing initiatives, including developing content and campaigns.
- Manage social media accounts and ensure consistent and engaging posts.
- Track marketing efforts and report on their effectiveness.
6) Company Events:
- Plan and organize company events, including team-building activities, client meetings, and corporate gatherings.
- Coordinate event logistics such as venue selection, catering, invitations, and attendee management.
- Ensure events are executed efficiently, professionally, and on budget.
7) Client Relations:
- Foster and maintain strong relationships with clients to enhance the company’s reputation.
- Greet and assist clients visiting the office, ensuring a positive experience.
- Ensure client satisfaction by addressing concerns or inquiries in a timely manner.
8) Company Policies & Procedures:
- Ensure that office operations comply with company policies and regulatory requirements.
- Help implement and update company policies as needed.
- Foster a positive office environment by encouraging adherence to policies and procedures.
9) Keep Office Supplies Up-to-date:
- Shop for and order office supplies as needed.
Qualifications:
- Proven experience in office administration or management.
- Strong communication skills, both written and verbal.
- Proficient in office software (e.g., Microsoft Office, Google Suite) and accounting software (e.g., QuickBooks).
- Social media management experience (Facebook, Instagram, LinkedIn, etc.).
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize effectively.
- Knowledge of basic financial tasks like invoicing, reporting, and statement preparation.
- In-office event planning and client management experience.
Education:
- High School Diploma or equivalent (required).
- Associate’s degree in Business Administration, Marketing, or related field (preferred but not required).
