We are seeking a self-motivated Office Coordinator who will be responsible for front office operations and serve as the first point of contact for our Global Headquarters in Syracuse, NY. The Office Coordinator fills an essential role supporting employees and providing positive experiences for visitors/customers.

The ideal candidate enjoys helping others, thrives on providing exceptional customer service and support, is resourceful, has the ability to exercise good judgement and gets satisfaction from a job well done.


The hourly pay range for this position, based out of Syracuse, NY, is $20.25 - $24.00. The actual hourly rate offered will vary based on applicant’s relevant skills, education, experience, certifications and geographic location as well as other business and organizational needs.

This position is located in Syracuse, NY and requires onsite work.

What you'll be doing:

  • Project a professional image through in-person, phone, and video interaction.
  • Greet and welcome visitors with a positive, helpful attitude.
  • Help maintain workplace security by issuing and collecting visitor badges and maintaining visitor logs.
  • Perform administrative tasks such as preparing reports, compiling information, copying, scanning, creating intranet communications, etc.
  • Maintain the common office areas; keep them stocked and in an organized manner.
  • Provide back-up phone support. Answer phones in a professional manner, provide information/assistance or route calls as necessary.
  • Manage incoming and outgoing mail and packages, track packages from when they are received in office until the designated employee receives them.
  • Maintain employee mailboxes, office supply inventory and handle distribution of supplies to employees.
  • Work closely with the sales management team, provide sales support on an ongoing basis and assist other departments with special projects and tasks.
  • Develop and maintain effective and streamlined processes.
  • Monitor various queues; respond appropriately and in a timely manner.
  • Assist with coordination of company events. Occasional responsibilities and attendance at activities outside of normal work hours required.
  • Assume additional responsibilities as requested.

What we're looking for:

  • Associate degree.
  • Two years’ administrative support or customer service experience.
  • Event planning experience a plus.
  • Must be customer service oriented with the ability to work collaboratively with others.
  • Exhibit a professional, cooperative, positive and flexible attitude.
  • Ability to prioritize tasks and maintain productivity despite interruptions.
  • Ability to manage multiple priorities, while demonstrating strong attention to detail and appreciation of deadlines is essential.
  • Ability to work independently and efficiently.
  • Exhibit well developed interpersonal skills and effective verbal and written communication skills.
  • Strong MS Office skills.
  • Ability to lift up to 25 pounds.
