Position Title: Event Operations Associate
Reports to: Vice President, Event Operations
Location: NYC
We are seeking an Event Associate to join the Official Cybersecurity Summit Event Operations team. The Event Associate will be responsible for planning and executing the assortment of live/digital event formats for the Learning division of CyberRisk Alliance. An ideal candidate would have experience in event coordination, customer service and financial tracking. Reporting to the VP Event Operations, the individual will work cross-functionally with various parts of the business to deliver the highest level of precision and planning for our live and digital event portfolio. This role requires a proactive individual who can thrive in a fast-paced environment and deliver high-quality events that exceed client expectations.
A successful candidate will be proactive, highly organized, and enthusiastic with excellent communication skills. A “can-do” attitude is a must.
Primary Job Responsibilities:
Event Planning:
For individuals assigned and/or hired to work in New York City, CRA is required by law to include a reasonable estimate of the compensation range for this role. This compensation range is specific to New York City and takes into account numerous factors that are considered in making compensation decisions including but not limited to a candidates' qualifications, skills, competencies, experience and location. A reasonable estimate of the current range is $55,000 to $60,000, which does not include other compensation benefits package.

Primary Job Responsibilities:
Event Planning:
- Collaborate with the VP Event & Operations to provide detailed recommendations for catering and AV at potential locations for all events
- Support with project administration tasks or ad-hoc support when required such as updating website with speaker details, auditing spreadsheets and managing incoming queries
- Assist with pre-event logistics, including vendor management, venue communication, audio/visual, catering, onsite marketing materials, floor plans, travel and onsite team management
- Oversee event staffing onsite at Cybersecurity Summits, including hiring, training and supervision of event staff and volunteers
- Ensure timely ordering and delivery of all event materials
- Conduct post-event evaluations to assess success and identify areas for improvement
- Manage all aspects of onsite event execution, from setup to breakdown
- Serve as the main point of contact at the hotel and venue for any alterations made to F&B and catering arrangements
- Manage all sponsors are in attendance and are properly setup at their designated booths
- Coordinate all speakers/ panelists to ensure adherence to presentation schedule
- Act as the main point of contact for clients, vendors, attendees and speakers onsite
- Address and resolve any issues or concerns that arise during the event
- Serve as the main liaison for clients and attendees, providing customer service support and addressing inquiries leading up to events
- Assist with attendee registration verifications, cancellations and confirmations as necessary to ensure proper attendance
- Utilize various communication channels, including email, text,
- Bachelor’s degree in Hospitality Management, Event Planning, Business Administration, or related field
- Minimum of 1-3 years of experience in event planning and operations, preferably in a corporate or agency setting
- Has great interest and willingness to learn and grow within the Events industry
- Proven track record of successfully managing large-scale events from conception to completion
- Strong project management skills, with the ability to multitask and prioritize effectively in a deadline-driven environment
- Excellent communication and interpersonal skills, with the ability to build relationships and collaborate with diverse teams
- Proficiency in event management software and Microsoft Office suite
- Detail-oriented mindset with a focus on delivering high-quality results
- Ability to travel (up to 25% annually), work flexible hours, including evenings, as required by event schedules
- Ability to adapt to a fast-paced environment and stay updated on industry trends and advancements in AI technology
