As a Front Desk Administrator , you will be the welcoming face of our organization, ensuring smooth day-to-day operations at the front desk. Your role will include greeting visitors, answering calls, managing test center operations, and providing administrative support across various departments. Additionally, you will be responsible for maintaining reports, facilitating classroom rentals, assisting with job placement verifications, and ensuring a tidy, organized office environment. The ideal candidate will be detail-oriented, professional, and able to manage multiple tasks effectively while providing excellent customer service.
Objectives of this role
- Serve as the first point of contact for visitors and callers, providing professional, courteous, and efficient service.
- Oversee the Test Center operations, including scheduling, proctoring, and promoting services to test takers.
- Perform a wide range of administrative tasks to support office operations, ensure the office is well-supplied, and assist with various team projects as needed.
Responsibilities
Front Desk / Reception duties
Answer calls, direct them to the appropriate personnel, and relay messages in a timely manner.Assist with general office tasks such as filing, data entry, and maintaining student / visitor logs.Manage the Test Center, including proctoring, scheduling tests, and maintaining the testing calendar.Promote Lab Four services to test takers and center visitors.Monitor office and break room supply inventory, creating and submitting Purchase Orders as needed.Schedule interviews and assessments for Lab Four open positions.Ensure marketing materials are available and properly displayed at the front desk.Keep classrooms, common areas, and the break room tidy.Coordinate maintenance requests with property management.Office Operations
Open the office daily.Assist in facilitating classroom rentals.Assist with job placement verifications by obtaining and documenting employer or student information, per policy.Maintain assigned reports, including the Exam Voucher Report, Test Center Revenue Report, and End of Day Report.Team Assistance and Project Support
Assist Enrollment, Compliance, and EEAS Teams on various projects as needed.Support the class start process and help with related administrative tasks.Provide data entry and invoice creation in QuickBooks, including billing, importing clients, entering bills, and pulling data on ACH payments.Assist with payroll and PTO requests as needed.Meeting Coordination and Documentation
Work Saturdays as part of a rotation. (1 per month)Participate in regular meetings, take minutes for quarterly staff meetings, and other meetings as required.Assist with other office support duties as assigned.Required skills and qualifications
Excellent interpersonal and communication skills, both written and verbal.Strong multitasking and organizational skills.Proficiency in office software (e.g., Microsoft Office Suite) and QuickBooks for billing and reporting.Ability to maintain confidentiality and manage sensitive information.High level of attention to detail and accuracy in reporting and data entry.Professional demeanor and a customer-focused attitude.Schedule
