Description:
Working with Global Communication & Marketing (GCM) team, you will support the program management of projects and activities for various teams within GCM.
This role will oversee program and project execution and thus requires experience in workflow management, project and portfolio management, resource management and individual task management in project management tools.
As duties will be diverse and multi-faceted, you must be well organized, a self-starter and be able to coordinate multiple projects.
The ideal candidate will have a sharp business mind, and proven ability to strategize and implement high-level program initiatives and deliver complex projects.
They will coordinate integrated workstreams, assess risk and downstream impact, and manage stakeholder expectations from planning to execution.
This role reports to the Director of Marketing Planning & Operations.
Duties:
Drive program and project execution, from planning to completion by:
Defining a program or project’s scope, including resource allocation and strategy for managing risk and quality throughout the program or project lifecycle
Working with stakeholders to develop detailed program and project plans with key milestones
Ongoing monitoring and analyzing of scope, status, resourcing, quality and risk
Navigating ambiguity and mitigate obstacles to ensure quality work is delivered on schedule
Creating and managing multiple projects simultaneously in GCM’s project management tool, Workfront (i.e., assigning tasks, due dates, etc.)
Identifying need and cadence for meetings and related stakeholder communication
Managing deadlines and communicating appropriate information to complete assigned tasks
Standardizing and producing program and/or project reports for stakeholders
Identifying requirements for cross-functional teams and external vendors
Employ critical thinking and project management skills to govern a program or project from every angle; foresee risks and proactively seek resolution early in the project life cycle
Build relationships with stakeholders
Serve as a reliable, driven project manager
Contribute to the governance and optimization of project management tool:
Implement and/or help drive process changes and reflect them in project management tool.
Creating/revising project, task, proof/document approval, hour reports
Creating/revising custom forms to capture project data and requirements
Creating/revising request forms and intake processes
Understand our company and GCM processes and timing related to third-party resources, such as vendors and agencies
Contribute to process documentation and make recommendations to improve consistency and efficiencies across future programs and projects
Contribute to program and project assessment protocols for evaluation of performance and quality
Requirements:
5 years project or program management experience
Project management tool experience required, i.e. Monday.com, WorkFront, Asana, etc. *WorkFront is preferred
Professional certification in program and project management preferred, such as PMP or PRINCE2
Degree/Major: Undergraduate or Master’s degree in Business, Marketing, Communication and/or IT related field
Knowledge of change management principles
Exceptional skills in leadership, time management, facilitation and organization
Proven expertise in workplace software (e.g., Microsoft Teams and SharePoint)
Desired Skills:
Proficiency with Microsoft Office 365 (Teams, SharePoint, Outlook, PowerPoint, Excel and Word)
Ability to take in information, synthesize/interpret requests, and take action
Strong project management skills and attention to deadlines
Detailed oriented
