Job Description:
General Summary:
Position may be filled at the manager or sr. manager level depending on candidate skills and qualifications. This position is responsible for overseeing the development of technical Statements of Work (SOW) Request for Proposals (RFP), Budgetary Estimates, Change Orders (CO), Requests for Information (RFI) or other documents describing Cytovance’s services in response to requests from prospective clients. Collaborates with sales, marketing, finance, legal, or product management team members to ensure content is complete, accurate, and timely. Provides input to strategic decisions that affect the functional area of responsibility. May give input into developing the budget. Capable of resolving escalated issues arising from operations and requiring coordination with other departments. Recommends enhancements to Cytovance’s services based on inquiries from prospects. This is a full-time, management position.
Essential Duties and Responsibilities:
• Manages the Proposals Department that responds to Requests for Proposals (RFP), Requests for Information (RFI), and similar requests from Project Management or Business Development.
• Manage people and paperwork to meet strict deadlines - standard two-week turnaround for proposals, one week for estimates/RFIs - by setting timelines to draft and finalize documents, acquire Subject Matter Expert (SME) input, obtain pricing and financial reviews, and prepare supplemental requests, such as raw material estimates, timelines, etc.
• Work with various internal departments such as Program Management, Business Development, Operations, R&D, and internal project teams.
• Provide contract management assistance in maintaining traceability, pricing, and invoicing, and ensuring appropriate Change Order content accounting for previously signed scopes, timeline constraints, and customer relationships.
• Manage and maintain accurate, up-to-date templates for Proposals, Project Questionnaires, Budgetary Estimates, Change Orders, and timelines.
• Work with Software tools such as MS Word, Excel, Salesforce, Smartsheet, and MS Project.
• Track and report metrics, e.g. turn-around time, revisions, types of documents, costing, etc.
• Ensure data integrity and electronic traceability – both on company servers and in the Salesforce database – for all Proposals, estimates, RFIs, and Change Orders.
• Support Business Development team on technical sales calls, on-site customer meetings, and at industry tradeshows as requested.
• Complete other applicable duties as assigned.
Job Requirements:
• Bachelor’s degree in a life sciences discipline or five to seven (5 to 7) years’ directly-related work experience.
• Master’s degree or higher preferred.
• Three (3) to five (5) years of managerial experience in the service sector of life sciences, or other transferrable disciplines; preference will be shown to applicants with previous experience in a CMO or CRO.
• Solid management skills.
• Previous proposal or grant writing experience preferred.
• High aptitude to understand technical and scientific information.
• Exceptional attention to detail.
• Exceptional written and strong verbal communication skills.
• Ability to lead and manage a team of professionals.
• Must have Intermediate or Advanced skills with Microsoft Office applications - Excel, Word, PowerPoint; Project; Salesforce, Smartsheet, MS Project, Visio, and Adobe Acrobat are a plus.
Physical Demands:
While performing the duties of this Job, the employee is regularly required to sit, and talk or hear. The employee is frequently required to use hands to finger, handle, or feel. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 10 pounds.
Work Environment:
While performing the duties of this job, the employee works in an office environment, and may be required to travel by airplane and/or automobile. Travel is estimated at 10%. The work environment is fast-paced and demanding. Off-shift, weekend, and overtime duties may be required as assigned
