Job Summary
The Auto Body Office Administrator is responsible for ensuring the smooth and efficient operation of the office in an auto body repair shop. They serve as the first point of contact for customers, manage administrative tasks, and support the overall workflow of the business. This role requires strong organizational skills, excellent customer service abilities, and knowledge of auto body repair processes.
Customer Service
- Greet customers, answer phone calls, and respond to inquiries in a friendly and professional manner.
- Schedule repair appointments and update customers on the status of their vehicles.
- Handle customer complaints or escalate them to management as necessary.
- Assist with preparing estimates and explaining repair details to customers.
Administrative Duties
- Maintain organized records of work orders, estimates, invoices, and other documentation.
- Input data into management software and ensure accuracy in record-keeping.
- Process payments, manage accounts receivable/payable, and handle basic bookkeeping.
- Order and maintain office supplies and assist with inventory management.
Operational Support
- Collaborate with technicians and estimators to ensure smooth workflow and communication.
- Coordinate with insurance companies to process claims and follow up on approvals.
- Manage the shop's schedule, ensuring jobs are assigned and prioritized appropriately.
- Ensure compliance with industry regulations and company policies.
Other Duties
- Prepare reports for management, such as revenue summaries and productivity updates.
- Assist with marketing tasks, including managing social media, promotions, or email campaigns.
- Support special projects or events as assigned by management.
Qualifications and Skills:
- Previous experience in an auto body shop or automotive service environment preferred.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Basic understanding of auto body repair terminology and processes.
- Ability to work independently and as part of a team.
Job Type: Full-time
Pay: $22.59 - $23.75 per hour
Expected hours: 40 per week
