ROLE: Administrative Assistant/Bookkeeper

D56 Construction Expectations:
The Administrative Assistant/Bookkeeper drives financial administration, office operations, and project support functions to support operational excellence at D56 Construction. This position serves as the administrative backbone of the organization by maintaining precise financial records, orchestrating office logistics, managing client interactions, and supporting project documentation and organization. The role requires meticulous attention to detail, proficiency in QuickBooks Online, and the ability to proactively support the Team while maintaining organizational efficiency.
KPI's and Activities Owned:
- Accurately and efficiently maintain financial records in QuickBooks Online
- Office administration, reception duties and visitor interactions
- Support for project documentation and contract preparation
- Provide comprehensive administrative support to the D56 Team
Actions and Goals:
Financial Administration
- Maintain accurate and up-to-date financial records in QuickBooks Online
- Process accounts payable and accounts receivable
- Reconcile bank and credit card statements monthly
- Track project expenses and update cost reports
- Assist with payroll processing and documentation
- Input project specific expenses to support project cost accounting
Office Administration
- Manage reception duties and serve as first point of contact for office visitors
- Answer and direct phone calls, emails, and other communications
- Maintain office supplies and place orders as needed
- Coordinate office maintenance and repairs as required
- Organize and maintain paper and electronic filing systems
- Run office-related errands and coordinate deliveries/pickups
- Coordinate meeting schedules and prepare meeting spaces
- Maintain showroom and selection inventory
Project Support
- Assist in drafting scope of work documents and budget sheets
- Support the preparation of contracts and change orders
- Organize and maintain project documentation
- Support permit application process with administrative tasks
- Assist in coordinating project meetings and site visits
Team Support
- Provide administrative support to the D56 team
- Assist with client correspondence and follow-up
- Coordinate team schedules and appointments
- Support preparation of client presentations and proposals
- Assist with onboarding paperwork for new employees or contractors
Requirements:
- Proficient in QuickBooks Online and financial record-keeping
- Experienced in office administration
- Strong knowledge of Microsoft Office suite (Word, Excel, Outlook)
- Familiarity with SharePoint and Asana preferred
- Detail-oriented with excellent organizational skills
- Self-motivated with ability to work independently
- Excellent time management and multitasking abilities
- Strong verbal and written communication skills
- Professional demeanor and customer service orientation
- Understanding of CRM system(s) and the ability to navigate
- Basic understanding of construction terminology and processes
- Minimum 2 years' experience in bookkeeping or administrative role
- Valid driver’s license

D56 Construction does not offer a traditional benefits package. This role is eligible to receive a monthly healthcare stipend and Paid Time Off.
Job Type: Full-time
Pay: $35,000.00 - $45,000.00 per year
