Reporting to the Director of Sales, the Contract and Proposal Administrator will support the Sales Department and Executives, as well as perform various functions within the Sales, Estimating and Program Management and engineering departments.
Proposal Creation
- Coordinate the preparation, review, and submission of proposals for automotive conveyor systems and AGVs.
- Maintain Salesforce with past proposals, templates, and supporting documentation for future use.
- Maintain accurate records of contracts, proposals, and associated documentation.
- Support internal audits by providing documentation and ensuring adherence to quality management standards.
- Develop and implement processes to streamline proposal and contract workflows.
- Develop proposal standards, guidelines, templates in coordination with Sales Director and Legal Department.
- Executive secretarial and clerical responsibilities.
- Receive, forward, and respond to phone calls from domestic and foreign partners or clients.
- Manage Order intake documentation.
- Prepare Power Point presentations, Excel charts and spreadsheets, and Visio flowcharts.
- Schedule meetings and maintain calendars.
- Monitor Salesforce records and generate reports.
- Proficiency in Japanese language - verbal/written skills (preferred).
- Computer literate, with proficiency in all MS office applications.
- Fluent in Salesforce and SAP.
- Sensitive to cultural and language differences, cultural habit differences, and cultural belief differences.
- Understanding of polite phone etiquette.
- Detail-oriented with excellent analytical skills.
- Strong interpersonal and communication abilities.
- Ability to manage multiple tasks in a fast-paced environment.
- Commitment to fostering a collaborative and positive work culture.
- 3 years of experience in contract administration, proposal management, or a related role.
- Strong understanding of contractual terms and legal frameworks.
- Exceptional organizational and time-management skills.
- Proficiency in Microsoft Office Suite, Salesforce, SAP and document management systems.
