JOB TITLE : Administrative

Assistant

REPORTS TO : Human Resources and the Director

of Finance

JOB PURPOSE : The basic function of the Administrative

Assistant is to ensure that the

company responds quickly to requests and feedback from employees and

clients. Assists with daily reports, billing and scheduling.

Rate of Pay $16.50

DUTIES & RESPONSIBILITIES :

  • Work

with other administrative assistants

  • Orientations
  • Answer
  • phones and greet visitors

  • Schedule
  • appointments and maintain calendars

  • Schedule
  • and coordinate staff and other meetings

  • Collate
  • and distribute mail

  • Prepare
  • communications, such as memos, emails, invoices, reports and other

    correspondence

  • Write
  • and edit documents from letters to reports and instructional documents

  • Create
  • and maintain filing systems, both electronic and physical

  • Manage
  • accounts and perform bookkeeping

    office administrative duties

  • Additional
  • projects as assigned

    QUALIFICATIONS

    Education :

  • Required : High School graduate
  • Preferred : College degree BA or BS
  • Experience :
  • 2 years'
  • demonstrated experience as an administrative assistant in an office

    setting.

  • Proficient in Microsoft and Google platforms
  • is a must

  • Proficient computer

    Skills :

  • Excellent written and oral
  • communications skills, including :

    Working knowledge of Spanish is desirable

    but not required.

    supervise others, following company policy, interact with employees and

    clients, and schedule work in stressful situations.

    Working conditions :

  • A fast-paced environment requires
  • flexibility, adaptability and resilience in a wide variety of work situations.

  • Customer service may include
  • interacting with challenging clients and tight deadlines.

  • General office environment, with
  • low to medium noise, low to medium heat and cold, and low to medium dust

    levels.

  • May be exposed to high dust, heat
  • and noise levels when visiting field job sites and / or client locations.

  • Occasional emergency calls after
  • hours, holidays and on weekends.

    Physical requirements :

  • Body Positions : Standing, sitting
  • Body Movements : Walking, stooping,

  • Sensory Abilities : Sighted,
  • voiced, and hearing. Close, color, and

    peripheral vision with ability to adjust eye focus.
