As a Surgery Coordinator, this position will schedule and prepare patients for surgery by completing and/or obtaining appropriate paperwork and information, performing patient education for the scheduled surgery, and be responsible for complying with all regulatory requirements and practice procedures. This position also ensures patient paperwork, surgical orders and surgery schedules are prepared for appropriate staff and outside facilities.
Responsibilities
- Calls patients to schedule their surgery in a timely manner
- Provides patient with education and guidance on their upcoming surgery
- Obtains all necessary documents including patient consents, testing, lens selection (if applicable) prior to surgery day
- Ensures familiarity with insurance coverage and patient’s financial obligation prior to surgery
- Secures hospital pre-registration and insurance pre-authorizations for each surgical patient, if required
- Accurately follows physician surgical orders in preparing documents/patient for surgery
- Maintains good lines of communication with the ASC and hospitals in Bismarck as it pertains to surgery scheduling; handles cancellations, reschedules, etc. Maintains good communication with physicians, ophthalmic assistants and other staff members to ensure that the necessary paperwork is completed in a timely manner.
- Ensures that satellite patients who are having surgery in Bismarck are scheduled appropriately
- Schedules clinic appointment and procedure for YAG lasers at the surgery center
- Schedules pre and post-op appointments related to surgery
- Manages and tracks progress of outgoing referrals. Completes scheduling and authorization if needed, for out of clinic appointments for CT scans, MRI, etc. Also, completes request forms for corneal tissue and faxes to Lions Eye Bank for corneal transplants.
- Is responsible for appointment rescheduling as the need arises
- Works to keep surgical schedules full and communicate issues with MD and manager
- Instructs patients on need and timing for H & P when necessary.
- Other duties as assigned
Qualifications
Knowledge, Skills, & Abilities
- Strong communication skills are required to effectively help patients and guide them through the decision-making process
- Excellent interpersonal skills to work closely and effectively with doctors, clinic staff, and understand patient needs
- Ability to work independently and establish priorities with flexibility and sense of collaboration with others
- Ability to handle multiple tasks at one time quickly and accurately
- Strong attention to detail
- Knowledge of eye terminology, anatomy, medical health conditions and oral medication use
- Familiarity with computers
- Ability to work with confidential information and handle protected health information in a manner consistent with the Health Insurance Portability and Accountability Act of 1996 (HIPAA)
- Possess working knowledge of insurance plans, coverage criteria, and billing procedures for Premium IOL’s, and various cornea surgeries
Experience/Education
- High School Diploma or Equivalent is required
- Associates or bachelor’s degree preferred
- Two years of experience working in a medical setting is required
- At least one year of surgical counseling experience is preferred
- Experience in basic medical coding and medical insurance billing is preferred
Physical Abilities
- Ability to sit or stand for 8 hours
- Ability to speak clearly
- Ability to hear softly spoken words
- Must occasionally lift, and/or move light material (<40 lbs.)
