JOB TITLE: Building Secretary – Activities/Counseling
JOB SUMMARY: This position provides secretarial support for the Activities Director, Principal, Assistant Principal, and HS Counselor. Responsibilities include management of databases, all athletic scheduling, and athletic website content. Duties will also include filing correspondence, forms, and reports; arranging for transportation to athletic events and field trips; and maintaining a daily schedule of building use for school and community use purposes.

POSITION REQUIREMENTS:
EDUCATION LEVEL: High School Diploma or Equivalent
SKILL LEVEL: Ability to work well within a learning community with parents, teachers, students, administrators, and staff with courtesy, tact, and good judgment. Maintain confidentiality and integrity in regards to student information. Must have knowledge and ability to apply basic computer, math, and language skills. Must be flexible and willing to undertake a variety of tasks, sometimes at the direction of more than one person. Must be able to work effectively with a variety of students. Ability to plan and organize work.
PHYSICAL REQUIREMENTS: Must have the ability to sit and stand for extended periods of time; exhibit manual dexterity; see and read a computer screen and printed materials with or without visual aids; hear and understand speech at normal office levels and on phone; and to bend, stoop, climb stairs, walk, and reach overhead. Occasional climbing and reaching. Must be able to occasionally lift up to 40 pounds.
WORKING ENVIRONMENT: Works indoors in a climate-controlled environment. Operates a variety of equipment including a computer, printer, telephone, calculator, copy machine, etc.

DUTIES AND RESPONSIBILITIES:

Essential Functions:
- Regular, Timely, in-person attendance.
- Assists the HS Secretary in managing the HS office efficiently by performing daily routine tasks such as: receiving and routing all incoming telephone calls promptly; maintaining an efficient filing system; locating and compiling information as requested by principal or ass’t principal; communicating messages to staff and students; greeting and directing all substitute teachers; collecting money from students for fines, lunch or other reasons.
- Greets visitors, schedules appointments, and controls access of personnel and visitors to the building, to the principal’s and assistant principal’s office, school files, supply room, etc.
- Administers medication to students as needed
- Issues classroom passes and tardy slips to students as needed.
- Provides clerical and organizational support for beginning and ending of the year, including New Teacher Workshop events, New Student Orientation, First Day of School, End of Year Student Checkout, etc.
- Provides clerical and organizational support for all school functions including, but not limited to, Parent/Teacher Conferences, Challenge Day, Week of Work, Registration Night, School Pictures, Semester Tests, etc.
- Performs clerical duties for the Activities Director such as schedule room usage for athletic teams, create rosters, and completion of academic eligibility checks for student athletes.
- Orders all letters, certificates, and pins for Activities Award ceremonies.
- Works with Athletic Director to arrange for and verify officials to work at athletic events; communicates with coaches and Athletic Director to schedule, reschedule, or confirm athletic events. Reserves fields and gymnasiums.
- Makes arrangements for accommodations for overnight athletic trips.
- Arranges for ticket takers, timers, scorekeepers, and supervision for home athletic events each season and communicates with Activities Director and workers.
- Manages the master athletic calendar; maintains monthly activity calendar; maintains daily athletic event calendar, and updates with changes and additions to the athletics website.
- Makes arrangements for transportation to athletic events and field trips; communicates with Transportation Department; arranges for rental of buses and vans if not supplied by district; maintains file of transportation costs.
- Performs a variety of other office duties such as maintaining daily activity schedule, duplicating and distributing materials, answering the telephone, providing first aid care to injured or ill students in the absence of the school nurse, acting as a receptionist, and filing a variety of materials.
- Provides backup assistance to high school office manager during absences.
- Maintains accurate and up-to-date record of key assignments for all coaches and supervisors
- Prepares Activities Department announcements for the building digital boards.
- Collaborates with a variety of organizations (DV PTO, Boosters, After-Prom Committee, Jostens, Kiwanis Club, etc.) to provide information and organizational support to enable the successful implementation of activities and events that recognize and support our students.
- Manages the Activities Calendar by scheduling all activities and ensuring that they are up-to-date and accurate.
- Maintain and update student ACT/SAT scores in Infinite Campus
- New students (transferred to Dakota Valley)__Enter previously transcribed courses into Infinite Campus
- Assists counseling department during student course registration.
- Files and maintain student cumulative records.
- Senior transcript review and sending official transcripts to post-secondary schools after graduation.
- Review annual documents such as course guide and course registration information and make sure it is accurate and the school website is up to date.
EVALUATION: Performance of this position will be evaluated by the building administrator or supervisor with input from HS counselor.
