What are the responsibilities and job description for the Executive Assistant position at Daland Swim School?
Daland Swim School is looking for a highly motivated and organized individual to join our team as an Executive Assistant. The ideal candidate will be responsible for providing administrative support to the Executive Director.
Duties and Responsibilities include the following. Other duties may be assigned.
- Assist Executive Director with scheduling and coordinating appointments, meetings, and events.
- Answer phone calls and respond to emails, forwarding information as necessary.
- Prepare reports, memos, letters, and other documents as requested by management.
- Liaise with external stakeholders, such as clients, vendors, and other business partners.
- Schedule and coordinate travel arrangements, including flights, hotel reservations, and ground transportation.
- Research and gather information for various projects and reports.
- Assist with the planning and execution of company events and activities.
- Participate in meetings and take minutes as required.
- Handle confidential and sensitive information with discretion and professionalism.
- Provide support to other members of the Daland Swim School team as needed.
Education/Experience:
- High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration or related field preferred.
- Proven experience as an executive assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Proficiency in Google Office Suite (Docs, Sheets, Drive).
- Strong organizational, time management, and problem-solving skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Knowledge of swim school operations or the aquatics industry is a plus.
Certificates and Licenses: Red Cross CPR/First Aid (or Lifeguarding) certification is required. We provide all needed training and offer the required certifications at our facility. Please note that Red Cross certifications will require an upfront cost, reimbursable after 6 months of employment.
Salary: $18- $22/hour. Please note that the salary information is a general guideline only. Daland Swim School considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate’s work experience, education/ training, key skills, and market and business considerations when extending an offer.
Schedule: 8-hour shifts from Monday through Friday. Occasional weekend days may be required.
