This role ensures the timely and accurate identification, resolution, and documentation of conflicts when onboarding new clients and clearing new hires. The analyst will collaborate closely with partners, attorneys, and administrative teams, interacting across operations, finance, administration, and risk management.
Key Responsibilities:
- Manage the new client and matter intake process, ensuring all conflicts of interest are efficiently identified and resolved.
- Develop, implement, and maintain an effective conflict management plan to support the firm’s business processes.
- Conduct quality control to ensure intake information is accurate, complete, and properly documented.
- Assist attorneys in assessing and clearing conflicts of interest.
- Partner with attorneys and legal support teams to collect necessary data for new client account setup.
- Maintain detailed records related to client intake, including conflict documentation, engagement letters, and waivers.
- Utilize internal and external tools to research and analyze corporate affiliations and prior waivers to support conflict resolution.
- Ensure all necessary conflict resolution documentation is recorded and properly stored.
- Generate and review monthly reports to confirm that client intake records are up-to-date and aligned with firm policies.
- Work alongside the Records Department to ensure timely processing and distribution of matter-related documents.
- Accurately categorize new client matters by practice area and legal specialty, ensuring records remain current as new parties are added.
- Serve as a subject matter expert, advising attorneys and staff on conflicts of interest regulations, legal ethics, and best practices related to new business intake.
- Prepare conflicts reports for senior leadership, including Practice Group Chairs and the Risk Management Committee.
- Provide training and guidance to staff on new business intake and conflicts management processes.

Position Requirements:
- Bachelor’s degree with 4-6 years of experience in legal intake, conflicts resolution, compliance, or regulatory operations.
- Experience with Elite 3E or similar law firm financial systems is a plus.
- Juris Doctor (JD) preferred but not required.
- Strong expertise in legal ethics, conflicts rules, and regulatory procedures within a law firm setting.
- Proven ability to lead and train employees on firm-wide initiatives.
- Excellent organizational, analytical, research, and communication skills with the ability to handle multiple priorities under tight deadlines.
- High level of integrity and professionalism in handling sensitive and confidential information.
- Strong interpersonal skills to effectively interact with attorneys, staff, and leadership.
- Proficiency in Microsoft Office Suite and Elite 3E.
