Dalfen Industrial is looking for an Executive Assistant to join our team. The ideal candidate will provide top-level assistance to our CIO and Managing Director of HR & Operations. The candidates should be well-organized and comfortable scheduling meetings, preparing documentation and presentations for meetings as necessary.
Position Responsibilities
- Managing the executive's day-to-day calendar, including making appointments and prioritizing the most sensitive matters, and setting up reminders
- Assist in preparation for meetings (including set up, material etc.)
- Answer incoming phone calls and accurately take messages
- Respond to emails and document requests on behalf of executive
- Monitor email flow and organize by priority
- Perform ad hoc duties as needed (business and personal) for executive
- Draft slides, meeting notes and documents as necessary
- Coordinate all travel arrangements and create trip itineraries
- Maintain comprehensive and accurate records, documents and reports, including contact lists
- Perform minor bookkeeping duties such as expense reimbursements
