The Dallas County Conservation Board is looking for an organized and detail-oriented individual to oversee essential administrative functions within our department. This position is vital for supporting our operations and fulfilling our mission.
This position is responsible for coordinating department administrative operations. This position has direct supervision over the Outreach Coordinator.
Job Duties:
- Assists the Director in managing the department budget; reconciles expenses; prepares bi-monthly claims; prepares reports for budget amendments; prepares copies of invoices/claims for grant reimbursements; assists with monthly reconciliations of journal entries.
- Prepares deposit receipts for funds received from donations, permit and reservation fees, rent, grants, and other sources; maintains related records; prepares and mails receipts.
- Processes department timesheets; works with Human Resources staff in the processing of employee paperwork, including new employee paperwork; advertises position openings in local media.
- Processes monthly credit card statements; matches receipts with invoices.
- Prepares Conservation Board meeting packets; prepares and posts agendas; attends monthly board meetings; takes notes and prepares minutes.
- Manages the online reservation website; sets up calendars for all facilities to allow online reservations; collects security deposits; works with Treasurer’s Department for proper coding of each reservation; prepares related reports.
- Completes a variety of regular and special reports, including the annual REAP report.
- Trains, assigns, directs, supervises, and evaluates personnel.
- Operates a motor vehicle.
- Performs related duties.
Qualifications:
EDUCATION/EXPERIENCE
- High School Diploma or equivalent.
- One to three years of related work experience.
- Possession of or ability to obtain a valid Iowa driver’s license.
- Basic First Aid and CPR certification.
KNOWLEDGE/SKILLS/ABILITIES
- Knowledge of modern office practices and procedures.
- Knowledge of basic accounting principles.
- Knowledge of county payroll policies and procedures.
- Knowledge of county and departmental policies and procedures.
- Knowledge of computers and job-related software programs.
- Skill in prioritizing and organizing work.
- Skill in the provision of customer services.
- Skill in the maintenance of files and records.
- Skill in the management of budgets.
- Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
- Skill in oral and written communication.
Supplemental Information:
PHYSICAL REQUIREMENTS/ WORK ENVIRONMENT
- The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. The employee occasionally lifts light objects.
- The work is typically performed in an office.
