JOB DESCRIPTION
Provides direct advanced administrative and secretarial support within District Court Administration and coordinates general human resources and administrative matters for Judges and associated staffs. Coordinates office procedures and personnel to ensure the most cost effective and efficient method of administration.
Management Scope: Overall support to the District Court Administrator and Judges.
RESPONSIBILITIES
1. Handles all office administration for District Court Administration (DCA), including written, phone, and email communications with the judiciary, elected officials/department heads, court staff, and County departments.
2. Conducts independent research on matters assigned by department head that requires communication with other departments and external sources to obtain information, analyzes results and provides feedback. Maintains office budget to ensure adequate funding for service commitments and other operations requirements.
3. Maintains record of time and attendance of department employees for DCA by inputting time for court reporters, court coordinators and Administrative Judges. Coordinates FMLA by serving as contact person for CareWorks and payroll activities. Coordinates employees’ and judges’ benefits, and assists with online or hardcopy enrollment. Assists with the resolution of employee benefit issues with Dallas County Human Resources Department.
4. Assists department in all aspects of the hiring and recruiting process, including job postings in the online recruiting system (Taleo), onboarding, reviewing, interviewing, and selecting applicants, making job offers, and ensuring all paperwork associated with onboarding of new or transferring staff is complete (i.e., salary analysis, background check, physical, and New Employee Orientation.
5. Manages the Legacy Court and PMC Court, grant-funded programs, requiring the tracking of funding and creation of statistic reports. Manages the county-wide Intern Badge Program, Room Reservations Program, Attorney Ad Litem Program and Judicial Salary Plan, requiring analysis of qualifications and recommendation of promotions to the staff attorneys and judicial salary committee.
6. Creates briefings for travel, furniture, and reimbursement requests for DCA, Judges, Court Coordinators, Alternative Dispute Resolution, and Jury Services. Serves as support staff in Alternative Dispute Resolution when staff is away. Maintains roster of Attorney Ad Litem Wheel for court appointments
7. Manages surplus of items, recycling of toners and binders for all court entities. Manages 21 plus judicial copiers, maintains supplies, and records meter readings.
QUALIFICATIONS
Education, Experience and Training:
Education and experience equivalent to a Bachelor’s degree from an accredited college or university in, Business, or in a job related field of study.
Juvenile Department:
“Position requires working with juveniles who may have committed dangerous/aggressive acts; should possess a high tolerance for working in an emotionally demanding/stressful work environment.”
Special Requirements/Knowledge, Skills & Abilities:
Ability to type 35 wpm. Candidates for all clerical, administrative and/or secretarial positions will be required to take and pass at least one skill(s) test(s) which will be determined by the Elected Official or Department Head based on the position and the operational needs of the department. Testing may include one or more of the following: 10-key, Coding, Data entry, Filing, Grammar, Math, MS Excel, MS Word, Proof Reading, Spelling, Sorting, Timed Typing (3 minute). Skilled in the use of standard software applications. Ability to effectively communicate both verbally and in writing, and establish and maintain effective working relationships with employees, departments and the general public.
Depending on the location, this position may require the incumbent pass an extensive background investigation.
Physical/Environmental Requirements:
Standard office environment. Requires prolonged sitting, standing, walking and ability to lift and carry up to 25 lbs., unassisted.
