Description

Purpose: The Office Receptionist is the front line representative to the public, visitors, families and residents for the Assisted Living Facility.

Reports to: Assisted Living and Memory Care Center Administrator

Essential Job Duties: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   1. Maintains confidentiality in all aspects of the job. Refrains from discussing or using this information in any other area or aspect outside of his/her job duties.
  2. Answers the telephone in a courteous manner. Greets, welcomes and assists visitors to the VAL in a cordial and professional manner.
  3. At the beginning of each shift, checks the front lobby and living room area for neatness.
  4. Maintains the buildings appearance throughout the day.
  5. Emails report of the VAL & MCC census, move-ins, move-outs, transfers, or deaths to Medical Records daily.
  6. Redirects marketing inquiries to the Marketing Director and/or the VAL/MCC Administrator. Obtains basic information (green inquiry sheet) as applicable.
  7. Liaison to residents. Records and reports information appropriately and accurately to RSC or Administrator or back to Resident.
  8. Maintains support & supplies for the office machines and calls repair services as needed.
  9. Provides clerical support for the VAL/MCC Administrator.
  10. Maintains open communication with the Human Resource Department as well as other areas on the Dallas Retirement Village campus.
  11. Collects apartment rent.
  12. Maintains petty cash for the Assisted Living.
  13. Manages resident Trust Fund accounts as authorized by the Accounting Office.
  14. Inventories and orders office supplies weekly.
  15. Works with the Administrator; providing oversight for checklists specific for the job description at the VAL & MCC for new employees. Coordinates with the Human Resources Dept.
  16. Assists in coordinating monthly All-Staff Meetings. Prepares and saves the agenda & minutes in meeting notebook. Takes minutes at the All Staff meetings and types them for staff who are absent from the meeting as needed.
  17. Updates facility rosters/lists monthly or as needed. Creates and updates VAL forms and lists as needed.
  18. Scheduling residents for outside provider visits; maintaining updated lists.
  19. Participates and supports personnel functions and procedures.
  20. Assists in the mailing of Physician Orders.
  21. Assists RSC in mailing out Service Plan letters and updating Service Plans as applicable.
  22. Monitors the Outside Service Providers notifying the RN and/or RSC of their presence as needed.
  23. Other tasks as assigned by the VAL/MCC Administrator.
