Job Summary
The Administrative Assistant for Campus Housing provides administrative support to the office. This person pursues excellent service as the first contact for residents, prospective residents, DTS faculty and staff, and other Campus Housing guests.
This is a Part-time role at 25 hours per week. Candidates must be eligible and able to work the full 25 hours required.
Duties/Responsibilities
Administrative Responsibilities:
- Maintain a professional, yet friendly, atmosphere in the Campus Housing Office
- Keep the main office break-room, seating areas, conference area, main desk, and coffee bar clean, properly stocked, and well-organized
- Greet and assist tenants, prospective tenants, and Guest Room occupants, DTS Staff/Faculty, and other visitors
- Answer incoming calls and emails to the Campus Housing Office and distribute messages or emails to the appropriate Campus Housing staff if specialized reply is needed
- Process maintenance requests between residents and the Facilities and Plant Operations Department (FPO)
- Assist with resident move-in/move-out activities, to include receiving and handing out keys, and preparing move packets
- Assist with creating and sending weekly Campus Housing Newsletter
- Upload campus slides to TV reels of both buildings
- Coordinate Guest Room reservation schedule, key pick-up/drop-off, and cleaning requests while monitoring activity on the Room Racoon website
- Provide weekly deposits to DTS Accounting of all rent payments delivered to Rent Drop Boxes in both apartment buildings and credit payments to tenant’s portal
- Provide administrative support to Tier 1 Campus Housing events
- Assist with data entry and verifications of residents
- Assist Assistant Director of Campus Housing as needed
- Other duties as assigned

Education and Experience
- College degree preferred
- Administrative experience preferred
- Proficient with Microsoft Office Suite, Google Suite, Canva, Mail Chimp, and Asana preferred
- Willingness to learn new digital platforms/systems
Physical Requirements
- Ability to sit at a desk and work on a computer for a prolonged period
- Ability to stand or walk for a prolonged period
- Ability to climb stairs
- Must be able to lift up to 20 pounds at times
