Job Purpose:
The administrative assistant supports both the Teaching and Learning department and the Dalton Education Foundation. This position provides administrative and clerical support to facilitate curriculum development, instructional planning, professional learning, and student achievement initiatives.
Duties and Responsibilities:
- Serve as administrative support to the Associate Superintendent of Academics
- Support academic programs including Literacy, Math, Science, Gifted, Migrant, Dual Language, and 21st Century programs by ordering supplies and translating documents
- Coordinate calendars, schedule meetings, and arrange travel and logistics for departmental activities
- Prepare, proofread, and distribute communications, reports, memo and presentations
- Organize and maintain confidential records and department files, both physical and digital
- Assist with the preparation and coordination of professional development events, training sessions, and curriculum-related initiatives
- Track departmental budgets, process purchase orders, and manage supply inventories
- Communicate effectively with school personnel, families, and community stakeholders on behalf of the department
- Compile data and generate reports for state, district and department use
- Organize major district events including Young Georgia Authors, Choral Festival, Art Fair, Social Studies Bee, REACH Scholars, Elementary Track meet, New Teacher Induction, District 3D Day, Leadership Symposium, and Pre-K registration.
- Design event programs, flyers, certificates, and media presentations
- Coordinate invitations, awards, catering, setup, and cleanup
- Maintain relationships with vendors and community partners
- Manage donation records, grants, and scholarship processes for the Dalton Education Foundation
- Support annual fundraising and recognition events such as Paint the Town Red, Tom Jones Award, Dale Cook Award, and others
- Maintain Foundation records, assist with trustee meetings, and produce marketing materials
- Perform other duties as assigned
Preferred Qualifications:
- Education & Experience
- High school diploma or GED required; college degree preferred.
- Experience planning events and supporting leaders or teams.
- Bilingual fluency (English/Spanish) preferred, especially for translation of documents and communication with diverse families.
- Skills
- Strong organizational and time management skills.
- Excellent communication skills—both written and verbal.
- Friendly and professional when working with staff, families, and community members.
- Able to handle confidential information with care.
- Technology
- Comfortable using Microsoft Office (Word, Excel, PowerPoint) and Google tools (Docs, Sheets, Slides, Calendar).
- Experience creating simple flyers, certificates, or presentations is a plus.
- Other
- Willing to work occasional evenings or weekends for events.
- Reliable transportation may be needed for errands or event support.

This position works 225 days.
