Job Overview
We are seeking a detail-oriented and professional Legal Receptionist to join our dynamic legal team. The ideal candidate will serve as the first point of contact for clients and visitors, providing exceptional administrative support while managing the front desk operations. This role requires a strong understanding of legal terminology and procedures, as well as proficiency in various legal software applications.
Responsibilities
- Greet clients and visitors warmly, ensuring a positive first impression of the firm.
- Manage incoming calls, directing them to the appropriate personnel while taking accurate messages when necessary.
- Schedule appointments and maintain calendars for attorneys, ensuring efficient time management.
- Assist with legal research using platforms such as Westlaw and maintain document management systems for easy access to case files.
- Prepare and transcribe legal documents, correspondence, and reports as needed.
- Support attorneys in various areas of law including immigration law, securities law, and environmental law by providing administrative assistance.
- Maintain confidentiality of sensitive information in compliance with legal standards.
- Perform other administrative tasks as required to support the smooth operation of the office.
Requirements
- Prior Bankruptcy and Family Law experience preferred.
- Proven experience as a receptionist or in an administrative role within a legal setting is preferred.
- Familiarity with litigation processes and legal terminology is essential.
- Proficiency in document management systems and software such as Bestcase, Alacourt & Pacer.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Excellent verbal and written communication skills, with attention to detail in all documentation.
- Ability to work independently while being a collaborative team member.
- A proactive approach to problem-solving with strong decision-making capabilities.
