Position Summary:
Extend the welcome and courtesies of Dancing Bear Aspen. Greet and assist arriving and departing guests. Possess expert knowledge of restaurants and activities in Aspen/Snowmass to make recommendations and plan itineraries. Check owners/guests in and out of the computer system. Answer and connect incoming calls. Log all Engineering and Housekeeping requests and forward to the appropriate department. Direct the duties of the Club Assistants.
Console Operations and Guest Services:
- Answer all incoming calls and process them efficiently and accurately, adhering to the guidelines for telephone etiquette.
- Conducting Pre-Arrival correspondence
- Placing follow up calls to owners/guests after receipt of pre-arrival form.
- Complete arrival and departure checklists and complete all associated tasks.
- Work closely with the Club Assistants to coordinate the smooth and efficient handling of check in and check out, bin placement and room moves.
- Provide directions or general information to owners/guests and patrons. Knowledge of all key personnel, hotel services, hours of operation, daily functions, locations, and times.
- Booking and confirming all owner/guest reservations including but not limited to those for restaurants, activities, transportation, grocery delivery, spa appointments, babysitting, and flower deliveries.
- Direct the Club Assistants to arrange/monitor transportation and deliveries.
- Attending to any specials needs of the guests.
- Comprehensive knowledge of local events both on and off property, including cancellation policies.
- Comprehensive knowledge of local restaurants, menus, atmosphere, and price to make dining recommendations and bookings.
- Know where each club assistant is at all times throughout the day.
- Contributing to DBA’s guest history, preferences, habits, and requests, by noting information in Owner Profiles.
Administrative Tasks:
- Log all guest requests for engineering, and housekeeping. Follow up to ensure request has been completed.
- Total familiarity with the Resort Data Processing System (RDP). Ability to run appropriate reports.
- Maintain supplies behind the front desk, such as stationery, office supplies, etc.
- Update the weekly activity boards located in the elevators and next to the front desk.
- Prepare welcome packets and itineraries for arriving Owners and guests.
- Maintain Owner profile information.
- Keep a clean and sanitary workplace.
Reporting Responsibilities:
- Record and report all telephone and computer operational problems to the IT Department.
- Respond and communicate to specified departments in the event of a fire alarm.
- Follow up on all calls that require action.
- Inform housekeeping and maintenance of changes in occupancy including departures and room moves.
Additional Job Duties
- Comply with all policies and procedures for Dancing Bear Aspen. Total familiarity with fire and safety procedures. Assist in emergency and security procedures as directed by management.
- Report to work in compliance with the Dancing Bear Uniform and Grooming Standards.
- Report to shift on time.
- Complete tasks and projects delegated by your manager and assist other departments as business volumes and staff levels permit.
Position Seasonality:
Year-round or Seasonal/Full-time.
Seasonal Housing through April only.
Education & Knowledge:
Previous hotel and/or residence experience preferred. Excellent command of the English Language. High School Diploma or equivalent. Ability to multi-task and to control a busy environment. Strong knowledge of Aspen and Snowmass areas. Excellent computer knowledge ideal.
Working Conditions:
Continuous standing 90%. Intense computer and phone use. Occasional stooping, crouching, and reaching. Constant handling, talking, hearing, and seeing at near and far distances. 10% outside in summer/winter.
