About the Role:

As a Front Desk Administrative Assistant in our private dental practice, you will be responsible for providing exceptional customer service to our patients and visitors. You will be the first point of contact for our organization, and your primary goal will be to ensure that our patients and visitors feel welcome and comfortable. You will be responsible for answering phone calls, scheduling appointments, figuring and collecting patient payments and managing patient records. Your attention to detail and ability to multitask will be essential in this role. Ultimately, you will play a critical role in ensuring that our patients receive the best possible care.

Minimum Qualifications:

  • High school diploma or equivalent
  • 3 years of experience in a dental office setting.  Prior dental assistant experience is a plus but not a requirement
  • Excellent communication and interpersonal skills
  • Proficient in Microsoft Office Suite as well as Dental Operating System such as Eaglesoft or its equivalent 
  • Exceptional hand dexterity and typing skills to work with standard software programs provided. Must be able to type at 35-40 words per minute with accuracy
  • Good mathematical aptitude in order to prepare and interpret dental treatment plans, coordination of dental insurance benefits, figuring co-payments as well and produce and comprehend productivity reports for the practice.
  • Must be a people person with excellent patient and co-worker interaction skills.
  • Must be able to operate multi-line telephone equipment, interoffice walkie talkie system and comfortably communicate with patients and others by telephone, walkie talkie, email, text messaging and in person.

Preferred Qualifications:

  • Associate or bachelor’s degree in the dental field
  • 3 years’ Experience in a dental office setting to include both administrative and clinical experience
  • Bilingual in English and Spanish
  • Proficient in Dental Operating systems such as Eaglesoft or other comparable systems
  • Dental Intelligence (DI) patient communication system experience a plus

Responsibilities:

  • Open office and prepare for business day
  • Always maintain the highest level of confidentiality to HIPAA standards
  • Greeting and welcome patients and visitors in a professional and friendly manner
  • Must demonstrate excellent communication skills by talking to others to convey information effectively and preparing business correspondence
  • Operate and answer multi-line telephones to screen and forward calls, providing information, taking messages and scheduling appointments as well as directing them to the appropriate department or individual as needed
  • Check phone messages and e-mails and act upon them in a timely manner throughout the day
  • Transmit information or documents to patients using a computer, secure email, regular mail, or facsimile machine adhering to HIPAA regulations
  • Monitor the day's schedule and patients who are waiting in reception area, notify appropriate staff of patient arrival, and when there has been a delay in patient seating for appointment
  • Calculate and confidently discuss co-payments with patients, present cases that have been treatment planned by their provider, schedule patient's appointments and manage patient's records
  • Present 3rd party financing options and making necessary arrangements
  • Check in advance the scheduled patients' records and provide or push out via DI with appropriate and necessary forms in advance or upon arrival (i.e. medical history, HIPAA consent, contact information, etc.).
  • Accept and record patients' payments made at the time of service or via mail, text message, DI and telephone
  • File insurance claims by submitting e-claims and paper claims when necessary
  • Assist patients with billing and insurance inquiries
  • Prepare End-of-Day routine, including but not limited to reconciling production and collection, settling credit card accounts for daily deposits
  • Maintain patient records and make appropriate notes within their accounts
  • Balance credit transactions and provide basic financial clerical support duties
  • Must always represent the practice in a professional, pleasant, and cooperative manner
  • Maintain regular attendance and adhere to assigned work schedule and office policies
  • Must be able to handle multiple deadlines and task assignments comfortably and efficiently
  • Must be able to work both independently and cooperatively in team settings
  • Must demonstrate active listening by giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times
  • Must demonstrate excellent communication skills by talking to others to convey information effectively and preparing business correspondence
  • Maintain a clean and organized front desk area

Skills:

In this role, you will utilize your exceptional customer service and communication skills to provide a welcoming and comfortable environment for our patients and visitors. Your attention to detail and ability to multitask will be essential in managing patient records and scheduling appointments. You must have a strong understanding of Dental Insurance and in the figuring of co-payments, be Proficient in a Dental operating system such as Eaglesoft as well as the using Microsoft Office Suite. These will all be necessary for managing patient records and billing inquiries. Additionally, if you are bilingual in English and Spanish, you will have the opportunity to communicate with a wider range of patients and visitors.
