Overview
The Medical Records Specialist/Orders and Face-to-Face Coordinator is responsible for ensuring timely and accurate processing of physician orders and documentation related to face-to-face encounters required for home health care services. This position plays a critical role in maintaining compliance with Medicare and other regulatory guidelines, facilitating smooth communication between physicians, patients, and the home health care team. The coordinator will work closely with clinical staff to ensure that all necessary paperwork is completed and submitted in a timely manner to ensure continued patient care and eligibility for services.
Responsibilities
- Receive, review, and process physician orders related to home health services, ensuring accuracy and completeness.
- Track outstanding orders and follow up with physicians or their offices to ensure timely completion.
- Ensure orders are signed and dated by the physician within regulatory time frames.
- Coordinate and obtain required documentation for face-to-face encounters between patients and physicians, as required by Medicare and other payers.
- Ensure all face-to-face documentation is completed within the required time frames and meets regulatory requirements.
- Follow up with physicians and their staff to obtain missing or incomplete face-to-face encounter forms and ensure timely submission.
- Communicate with clinical teams to verify that all face-to-face encounter documentation is received and documented properly before submitting claims for payment.
Skills
-Experience in a home health care setting, particularly with physician orders and regulatory documentation, is preferred.
- Attention to detail for proofreading order information
- Ability to perform data entry accurately
