POSITION DESCRIPTION:

The Office Operations Manager will support Dumas Collective by ensuring the smooth day-to-day operation of the office while providing critical administrative and operational support to employees. This role involves scheduling meetings and appointments, managing office supplies and vendors, coordinating office maintenance, and ensuring the office runs efficiently. Additionally, the role includes light HR support, primarily focused on scheduling interviews, onboarding logistics, and first-day preparation for new hires.

Ultimately, the Office Operations Manager should be able to enhance company office procedures, support business operations, and maintain a well-organized and productive office environment.

RESPONSIBILITIES:

  • Serve as the point person for office duties, including but not limited to maintenance, security, mailing, supplies, equipment, bills, errands, and shopping.
  • Assist with developing, monitoring and managing the office budget, ensuring cost-effective operations and initiating cost-reduction programs.
  • Schedule meetings and appointments for executive team, and employees.
  • Organize the office layout and oversee inventory, ordering stationery, equipment, and office supplies.
  • Maintain office conditions, ensuring necessary repairs are coordinated.
  • Partner with the Director of People and Culture to update and maintain office policies, and office operations as needed.
  • Coordinate with Envision (IT department) on office equipment and special projects.
  • Manage contract and price negotiations with office vendors and service providers.
  • Liaise with facility management vendors, including cleaning, catering, and security services.
  • Provide general support to visitors.
  • Address employee inquiries regarding office management issues (e.g., stationery, hardware, and travel arrangements).
  • Schedule interviews across the collective, ensuring smooth coordination with hiring managers and candidates.
  • Assist with onboarding logistics, including setting up workstations, technology, and office supplies for new hires.
  • Prepare for orientation and first-day experiences, ensuring new employees have a seamless introduction to the company.
  • Plan and coordinate in-house and off-site activities, including parties, celebrations, and conferences.
  • Manage the office security system and ensure adherence to security protocols.
  • Develop and maintain a central filing system, including archives and vendor files.
  • Monitor and manage the office budget, ensuring cost-effective operations and initiating cost-reduction programs.
  • Prepare reports and correspondence as needed.
  • Perform other related duties as assigned by management.

QUALIFICATIONS:

  • Bachelor’s degree (B. A.) or equivalent, three to five years related experience, or
  • equivalent combination of education and experience.
  • Proven commitment to customer service and clients.
  • Ability to work in a team environment
  • Excellent verbal and written communication skills.
  • Excellent customer service skills.
  • Commitment to excellence and high standards.
  • Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.
  • Experience in vendor management, contract negotiations, and budget oversight.
  • Familiarity with HR processes such as onboarding and interview scheduling is a plus.

  • committees.

  • Ability to deal effectively with a diversity of individuals at all organizational levels.
  • Good judgement with the ability to make timely and sound decisions.

  • While largely sedentary, this position requires the ability to sit, stand, and lift up to 20 lbs., speak and hear, sometimes for extended periods of time.
  • Requires the ability to use a computer and office equipment traditionally found in office settings.
  • Requires the periodic ability to travel regionally, on behalf of the company.
