General Description: Performs administrative functions in support of the Head Start program and the Executive Director's day-to-day operations.
Qualifications and Experience:
Associate's Degree in Clerical or Administrative Studies preferred
3 years of administrative experience
Responsibilities and Duties:
Perform assigned tasks within established deadlines
Handle internal and external correspondence (e.g., emails, letters, memos)
Review and update memorandums of understanding (MOU)
Participate in the revision and editing of program and departmental procedures and protocols
Track departmental monitoring reports
Order supplies and maintain an appropriate level of supply inventory
File and retrieve agency records, documents, and reports
Prepare for and take minutes at Board, Policy Council, and management meetings
Schedule meetings and conferences
Handle confidential and time-sensitive material
Process and maintain all travel (authorization for travel, registration, hotel arrangements, mileage, and settlements)
Maintain Administrators schedule
Other related duties as assigned
Knowledge/Skills/Abilities:
Ability to take dictation; Strong written and verbal communication skills; Working knowledge of Microsoft Office
Suite; Must be able to adapt quickly and positively to changing demands, stressful situations, and multiple
priorities; Demonstrated ability to plan, organize, and lead projects and activities; Excellent critical thinking,
organization and analytical skills are a must.
