Position Purpose
The Engagement and Operations Specialist for the Arthur L. Irving Institute for Energy and Society performs a variety of administrative operations support duties to increase office efficiency and to expedite and coordinate the work of others. The Engagement and Operations Specialist also supports event/program coordination and engagement efforts at the Institute. The Engagement and Operations Specialist reports to the Manager of Building Engagement and Operations.

- Proficiency with computer applications such as Microsoft Word/Google Docs and Microsoft Excel/Google Sheets

- Valid driver’s license
- Experience, either through education or employment, in the energy/climate/sustainability fields

Key Accountabilities
Description
Engagement & Operations Support
- Serves as the initial welcome point of contact for visitors to the Institute, providing information, answering questions, directing visitors and callers as necessary, and conducts building tours, as needed
- Monitors and triages incoming emails to the general Institute email account and distributes all incoming mail/packages to Institute staff
- Monitors and stocks office supplies and ensures Institute printers are maintained in good working order
- Maintains inventory of Institute collateral/merchandise and coordinates ordering additional SWAG , as needed
- Coordinates ordering business cards for Institute staff members
- Maintains Institute Outlook groups, reviewing and updating on a quarterly basis
- Maintains the Commons Kitchen space, ensuring the dishwashers are run and emptied, as needed, sinks and counters are kept tidy, and essentials (e.g., coffee, milk, sugar, etc.) are kept stocked
- Provides miscellaneous administrative support to the Institute directors, time permitting, including processing receipts and financial documents for reimbursement and assisting with travel arrangements
- Performs other administrative tasks, as assigned

Event & Programming Support
- Assists with scheduling external events, submission of work orders for internal events, creating signage for events, printing name tags for attendees, and coordinating other event logistics, as needed
- Provides back-up support for on-site events, and represents Institute at off-site events, as needed

Special Projects
- Assists the Building Engagement and Operations Manager with maintaining and improving the Energy Kiosk’s functionality
- Assists Building Engagement and Operations Manager with creating and maintaining employee manual for Institute staff
- Assists Irving teams with various projects (e.g., web research, data entry/analysis, uploading/tagging event photos, etc.), as time allows
- Demonstrates a commitment to diversity, inclusion, and cultural awareness through actions, interactions, and communications with others.
- Performs other duties as assigned.
