Manages the overall planning and allocation of space in a manner that balances the immediate space demand, future growth projections, and the cost effective and efficient utilization of a high demand and high cost organizational resource. Manages internal and external resources for the purpose of effectively addressing project design, move coordination, space planning and project management needs and ensuring that all hospital standards are met.
Responsibilities

- Ensures that all job duties are performed in accordance with all standard safety procedures to ensure that a safe and comfortable environment is maintained. Utilizes knowledge-based recommendations for workplace trends and space optimization practices. Evaluates projects according to such criteria as productivity, project preparation, cost effective use of space and customer prioritization.
- Develops with applicable collaborators and implements policies and procedures for facilities design standards and furnishings.
- Administers, inspects and accepts work performed by contract, approves payments of contracts and invoices as applicable.
- Maintain space utilization data, running quarterly reports to ensure space efficiency goals are met. Maintains documentation of compliance and maintains and improves the space management database for tracking of allocated space, cost reporting, and leasing activities. Responsible for measurement of quality and reporting of same. Ensures the maintenance of the hospital's space inventory program which provides information on departmental areas and facilities for reimbursement purposes.
- Supervises the establishment of standards for furniture, equipment, art work, graphics, signage, finishes, etc., in conjunction with other Facilities Leadership. Ensures standards comply with applicable federal, state and municipal regulations, codes and professional guidelines.
- Utilizes the participation of internal and external consulting with the goal of integrating and maximizing the contributions of participants. Participates with other professionals in Facilities Management in the processing of bids and awarding of contracts to consultants such as designers, engineers, and architects and to vendors and contractors. Makes recommendations for action and submits initial plans, timetables, and project estimates for purposes of consultation and approval.
- Consults with customers, responds to their requests and changing criteria in a timely manner to ascertain needs and plans for work space and determines projects scope, criteria and resources. Assigns available resources to resolve problems identified during the evaluation process. Negotiates changes in plans as needed.
- Supports in the development of initial planning and conceptualization of hospital building plans, reconstruction and alterations. Creates and manages project estimates and budgets as needed.
- Evaluates all hospital and healthcare departmental space programs prior to commencement of schematic design.
- Collaborates with leadership in establishing priority of requests according to organizational objectives. Revises priorities in response to the changing hospital environment.
- As part of the Facilities Management team, collaborates with other divisional managers to resolve issues and concerns within the facility relative to service quality, planning, construction, and cost.
- Represents the Design and Construction Department at meetings and on committees with the goal of establishing relationships with customers within the hospital and participating in the decision-making process on issues relating to space planning and design
- Maintains confidentiality of all designated information. Follows established Hospital infection control and safety procedures.
- Collaborates with Facilities Engineering leadership team and others as required for project management services and supports the activation of construction projects.
- Manages the processing and negotiation of leases and lease amendments, including communicating/negotiating with landlords and other outside parties, reviewing space buildout/construction/tenant allowance provisions, reviewing maintenance and repair provisions, coordinating reviews of indemnity/insurance provisions by Hospital risk management, and familiarity with fair market values and appraisals that lead to lease terms.
- Manages the active lease portfolio of the Hospital, including ongoing space buildout/construction, landlord/tenant issues, lease modifications/renewals/terminations, and move-out/surrender at lease conclusion.
- Performs other duties as required or assigned.
Qualifications
- Bachelors of Science (Masters Preferred) with major studies in architecture, engineering, construction or appropriately related field of experience.
- 10 years of relevant experience.
- Appropriate professional registrations and certifications preferred.
- Excellent communication skills is essential.
- Experience with real estate legal documents, including reviewing, negotiating, and coordinating with attorneys for the Hospital on the same.
