About the role:

A Property Management Back Office Associate plays a crucial role in supporting the administrative and operational functions of Lacy Management. You will provide essential behind-the-scenes support to ensure efficient operations and effective communication within the organization. Below is a general outline of the key duties and requirements for this position:


Key Responsibilities:

  • πŸ—‚ Administrative Tasks: Provide data entry, document management, and accurate record-keeping to assist property management teams.
  • πŸ“œ Lease Administration: Support lease administration processes. Prepare and manage lease files, including renewals and compliance with lease terms and conditions.
  • πŸ“ž Tenant Communication: Act as a point of contact for tenant inquiries, addressing concerns, and resolving issues with property managers.
  • πŸ”§ Vendor Coordination: Manage vendor quotes, work orders, and repair activities while maintaining vendor records.
  • πŸ“Š Reporting: Create regular reports on property performance, occupancy rates, financial metrics, and maintenance activities.
  • πŸ“‘ Compliance and Legal Support: Stay informed and ensure compliance with local, state, and federal property management regulations. Assist in drafting legal documents like lease agreements and eviction notices.
  • πŸ’» Technology Management: Utilize property management software and stay updated with the latest tools to ensure operational efficiency.

Qualification:

  • Education and Experience: Undergraduate degree or equivalent is required. Previous experience in property management, real estate, or a related field is preferred but not mandatory.
  • Administrative Skills: Proficiency in administrative tasks such as data entry, document management, and record-keeping. Strong organizational skills and attention to detail are essential.
  • Communication Skills: Excellent verbal and written communication skills to interact with team members, tenants, vendors, and other stakeholders. Ability to convey information clearly and professionally.
  • Analytical Skills: Basic analytical skills to review and analyze financial data, lease agreements, and reports. Ability to identify trends, variances, and potential areas for improvement.
  • Technology Proficiency: Comfortable working with property management software, Microsoft Office Suite (especially Excel reporting), and other relevant tools. Ability to quickly learn new software and technologies.
  • Teamwork and Collaboration: Ability to work effectively within a team and contribute to a positive and cooperative work environment. Willingness to support colleagues and assist in various tasks as needed.
  • Problem-Solving Abilities: Strong problem-solving skills to address operational challenges, resolve conflicts, and make sound decisions. Ability to think critically and exercise good judgment.
  • Adaptability: Flexibility to adapt to changing priorities and handle multiple tasks simultaneously. Ability to work efficiently in a fast-paced environment.


Requirements:

  • Must own a laptop with a stable internet connection.
  • Ability to work during specified night-shift hours (5 PM IST to 1:30 AM IST).
  • Undergraduate degree or equivalent is required.
  • Proficiency in Microsoft Office Suite.
  • Excellent communication and interpersonal skills, with the ability to work collaboratively across departments.
