Dateline Exports is an export company specializing in the supply of construction materials for overseas projects in the western Pacific Islands area, specifically Guam, Micronesia, Polynesia, and Melanesia. For over 30 years, the company has been a responsive, trusted partner supplying construction material for military and private development projects, as well as for value-added logistics services.

Position Overview

We are currently seeking a full-time Office Specialist who will be responsible for providing clerical support for the office and accounting support to the Accounting team. Office Specialist will be responsible for a variety of duties and responsibilities including posting invoices, ordering office/janitorial supplies, and filing A/P and invoicing files. The right candidate will have strong organizational and communication skills; previous experience in accounting or related field; and proficiency in Microsoft 365.

Clerical Responsibilities

  • Greet guests and delivery personnel at the front desk
  • Empty dishwasher and run it at the end of the day
  • Organize occasional food catering and coffee orders
  • Check voicemail on a regular basis
  • Storage/Server room organization
  • Conference room setup for team/client meetings
  • Order office/janitorial supplies
  • Sending/receiving DHL; mailing DHL documents to designated mail carriers; mailing carrier documents when requested
  • Preparing and sending files to the Invoicing department
  • Yearly - file and A/P cleanup; send Christmas card to customers/vendors
  • File organization/space planning
  • Additional duties as assigned

Accounting Responsibilities

  • Vendor credit applications/setup
  • Post and file Sales invoices
  • File A/P invoices
  • General support to both Accounts Receivable and Accounts Payable
  • Additional duties as assigned

Required Skills, Knowledge, and Abilities

  • 2 years related experience
  • Basic filing skills
  • Proficiency in Microsoft 365 (Excel; Outlook; SharePoint; etc.)
  • Strong email management skills
  • Strong organization, time management, and communication skills
  • High level of accuracy and attention to detail
  • The ability to self-motivate and manage multiple priorities under time constraints

Preferred Qualifications

  • Familiar with general ledger accounting principles and practices
  • Looking for a career in Accounting

Job Type: Full-time

Pay: $47,000.00 - $49,000.00 per year
