Overview
We are seeking a detail-oriented and organized Office Administrator, preferably with experience in Service Titan, Housecall Pro or similar CRM systems, to join our team. The ideal candidate will be responsible for overseeing daily office operations, managing administrative tasks, and supporting field and office staff using Service Titan to ensure smooth workflow and efficiency.
Key Responsibilities
Manage day-to-day office operations, including scheduling, data entry, and customer service.
Utilize Service Titan for job scheduling, invoicing, reporting, and customer management.
Coordinate and communicate with field technicians, ensuring proper job assignment and dispatch.
Process work orders, invoices, and payments within Service Titan.
Maintain accurate customer and job records in Service Titan and other office systems.
Assist with payroll, timesheets, and expense tracking.
Handle incoming calls, emails, and customer inquiries in a professional manner.
Ensure compliance with company policies and procedures.
Maintain organized electronic filing systems for documents, records, and correspondence.
Provide support in various administrative tasks as needed, contributing to a collaborative work environment.
Qualifications
Proven experience as an Office Administrator, Dispatcher, or similar role in the service industry.
Proficiency in Service Titan or the ability to learn and effectively utilize and implement Service Titan.
Strong organizational and multitasking skills.
Excellent communication and customer service skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to work independently and as part of a team.
Experience in the HVAC, plumbing, electrical, or home services industry is a plus.
Excellent communication skills, both written and verbal, with an emphasis on professionalism.
Ability to multitask and prioritize responsibilities in a fast-paced environment.
