Job Title: Data Management & Reporting Specialist
Location: Naples, Florida

Salary: Starting at $50,000 annually (based on experience)
Reports to: Director of Quality Improvement

Position Overview:
The Data Management and State Reporting Specialist will be responsible for overseeing and managing the collection, analysis, and reporting of data related to mental health and substance use services. This role is critical in ensuring accurate and timely reporting of data to state and federal agencies, as well as maintaining the integrity and confidentiality of client records.
Key Responsibilities:
- Data Collection & Management:
- Exporting, consolidating, and presenting agency-related outcome measures that are exported from the EMR system and other data sources.
- Ensure data is properly entered into electronic health records (EHR) systems and other tracking systems.
- Monitor data quality and address discrepancies or issues in a timely manner.
- State Reporting & Compliance:
- Prepare and submit periodic reports to state and federal agencies in compliance with regulatory standards.
- Ensure all reporting deadlines are met and that all required data fields are included and accurate.
- Creating and coordinating the preparation and release of reports for data error corrections and reduction as well as completing and assisting with corrections.
- Monitoring any changes related to State data reporting requirements and communicating implications to entire QI Team.
- Data Analysis & Reporting:
- Analyze trends, patterns, and outcomes related to client treatment and services.
- Prepare reports on service delivery, outcomes, and client progress for internal teams and external stakeholders.
- Collaborate with clinical staff to interpret and leverage data for quality improvement.
- Confidentiality & Compliance:
- Maintain client confidentiality and adhere to all HIPAA and confidentiality laws and regulations.
- Ensure all data handling, reporting, and storage practices comply with privacy and security policies.
- Collaboration & Training:
- Work closely with clinical, administrative, and IT teams to improve data management processes for internal and external reporting.
- Provide training and guidance to staff on proper data entry practices and reporting requirements.
- Assist in the development of standard operating procedures (SOPs) for data management and reporting.
- Quality Assurance:
- Regularly conduct audits of data to ensure its accuracy, completeness, and consistency.
- Assist in developing and implementing strategies to improve data quality and reporting efficiency.
Qualifications:
- Education: Bachelor’s degree in Public Health, Healthcare Administration, Data Science, or a related field = Required
- Experience: Minimum of 2-3 years of experience in data management, ideally in a healthcare, mental health, or substance use treatment setting.
- Technical Skills: Proficiency with electronic health record (EHR) systems, data analysis software (e.g., Excel, SPSS, SAS), Office 365, and reporting tools. Familiarity with SQL, XML, and/or Python.
- Knowledge: Familiarity with mental health and substance use treatment regulations, reporting requirements, and relevant state/federal compliance standards.
- Skills: Strong attention to detail, excellent organizational skills, and the ability to work independently and in teams. Strong written and verbal communication skills.
