Job Description
We are seeking a highly organized and efficient Executive Assistant to join our team in Houston, Texas. The ideal candidate will provide exceptional administrative support to senior executives, ensuring smooth operations and effective communication within our organization. Our office is located near Katy Freeway & 610W.
- Manage complex calendars and schedule meetings for senior executives
- Coordinate travel arrangements and prepare detailed itineraries
- Prepare and edit correspondence, reports, and presentations
- Handle confidential information with the utmost discretion
- Serve as a liaison between executives and internal/external stakeholders
- Organize and maintain filing systems, both digital and physical
- Manage incoming calls, emails, and requests, prioritizing as needed
- Assist in planning and coordinating company events and meetings
- Prepare agendas and take minutes during executive meetings
- Handle expense reports and process invoices
- Conduct research and compile data for various projects as needed
Qualifications
- Proven experience as an Executive Assistant, supporting senior-level executives
- Exceptional organizational skills with a keen attention to detail
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
- Outstanding written and verbal communication skills
- Ability to maintain strict confidentiality and exercise discretion
- Strong problem-solving skills and ability to make decisions independently
- Excellent time management skills with the ability to prioritize tasks effectively
- Demonstrated ability to work in a fast-paced environment and handle multiple projects simultaneously
- Strong interpersonal skills with the ability to interact professionally with executives, clients, and colleagues
- Flexibility to adapt to changing priorities and deadlines
- Bachelor's degree preferred, but not required with equivalent experience
- Knowledge of office management systems and procedures
- Ability to take initiative and proactively identify areas for improvement
