General Statement of Duties
This position also provides responsible clerical support to the social workers in Child Protection Services, Foster Care and Adoption, and Adult Services, and other areas as needed.
Distinguishing Features of the Class
An employee in this class performs clerical support to agency staff to ensure timely workflow and effective processing of reports and clerical duties. Duties include processing criminal and central registry reports primarily for CPS as well as Foster Care and Adoption and Adult Services, copying, faxing, filing, scanning, and data keying. Work is performed under the regular supervision of the Office Work Unit Supervisor V.
Illustrative Examples of Work
- Processing of Child Protective Services intake reports, criminal and central registry requests.
- Processes Diligent Searches for Social Workers using the Lexus Nexus system as well as various websites.
- Provides coverage for the Reception Desk on 1st floor, Lexington office and occasionally supports 2nd floor Lexington operations
- Data Keying of various State forms and tracking forms for services.
- Faxes, copies and prints various information from multiple systems for social workers.
- Backups other clerical staff in Foster Care, Adult Services, Child Protection Services, and Reception.
- Issues sis #’s for the day sheet and form keying purposes to social workers in the services area of the agency.
- Research multiple systems for information for social workers.
- Mails letters for social workers.
- Serves as Notary.
- Scans documents to a one case system for social workers.
- Mails foster care Medicaid cards to foster homes for social workers.
- Prints payment history for child in Foster Care.
- Adheres to the county, state, federal policies, rules and regulations.
- This position performs mandatory Shelter Duty should the need arise and is a mandatory emergency shelter duty team member
- Performs other duties as assigned.

Physical Requirements
- Must be able to physically perform the basic life operational support functions of climbing, balancing, stooping, kneeling, crouching, reaching, walking, pushing, pulling, lifting, fingering, grasping, talking, hearing and repetitive motions.
- Must be able to perform medium work exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
- Must have visual acuity to prepare and analyze data and figures, perform accounting and transcription, work on a computer terminal and perform extensive reading.
- Worker is subject to inside environmental conditions: Protection from weather conditions but not necessarily from temperature changes.
- Worker is in contact with potentially infectious bodily fluids during the performance of his/her duties.
Education and Experience
Graduation from high school and demonstrated possession of knowledges, skills and abilities gained through at least one year of office assistant/secretarial experience; or an equivalent combination of training and experience.
Licenses and Certifications
