Davis-Houk Mechanical, Inc. is a full-service mechanical contracting firm, serving all of downstate Illinois. DHM is a leading provider of plumbing, piping, and HVAC systems for commercial, industrial, and institutional customers. The company has extensive experience in both design/build and competitive bid projects. In addition to construction operations, DHM has more than 40 service technicians providing repairs, new installation, and planned maintenance for residential and commercial projects throughout East-Central Illinois.
Davis-Houk Mechanical, Inc. is seeking a full-time Branch Administrator. The ideal candidate will have strong customer service skills, be meticulous, and able to prioritize multiple tasks. The employee will be expected to develop strong working relationships with clients and become a point of contact for administrative inquiries. Applicants should have knowledge of Microsoft Office, familiarity with accounts receivable and accounts payable, past due reconciliation, and be excited to learn. Two years of office work and knowledge of Sage is a plus. The position is in person with normal working hours of 7:00 AM to 4:00 PM Monday through Friday with a 1-hour lunch. Work will include but not be limited to the following:
General Administration
• Customer service duties; including greeting visitors, answering and directing incoming calls, and accepting service calls.
• Organization and maintenance of office services including copier/printers, phones, and office supplies.
• Accepting deliveries.
• Record keeping, filing, and database management.
• Assisting service technicians with permits, JULIE requests, and backflow test submissions.
• Processing client payments, including credit card payments by phone.
• Obtain mechanical and plumbing permits as requested by project managers and service technicians.
• Collaborating with clients to answer all invoice inquiries and ensuring timely responses to questions.
• Executing client prequalification and vendor information forms including certificate of insurance submission.
Construction Administration
• Executing and tracking submittals.
• Preparing O&M manuals, as-built and close-out documentation management.
• General project correspondence.
• Reporting and tracking job costs for project managers.
• Managing, filing, and organizing construction documents as directed by project managers/superintendents.
• Preparing and submitting payment documents including lien waivers and sworn statements.
Payables Administration
• Sorting, reviewing, and entering construction A/P invoices.
• Working directly with the Accounts Payable Administrator as required to coordinate tax exempt requirements for projects.
• Distributing A/P invoices to project management staff and obtaining approvals.
Receivables Administration
• Preparing schedule of values as directed by project managers.
• Executing monthly pay applications and preparing the required backup documentation.
• Preparing time and material invoices.
• Completing past due receivables reconciliation.
Competitive salary will be based on experience and skill level. Benefits package includes:
• Seven (7) paid holidays – New Years Day, Memorial Day, Independence Day, Labor Day, Thanksgiving, the day after Thanksgiving, and Christmas.
• Two (2) weeks paid time off each year (eligible after 90 days of employment). Three (3) weeks yearly paid time off after three years of service.
