Executive Assistant – Managing Director -Property Management & Operations

  • Calendar management – proactive calendar management with weekly 1 : 1’s, department, and direct reports.
  • Completing monthly expense report.
  • Manage information flow in a timely and accurate manner.
  • Coordinate Managing Director’s calendar and set-up meetings
  • Make travel and accommodation arrangements.
  • Format information for internal and external communication – memos, emails, presentations, and reports
  • Take minutes during meetings, review with MD and file electronically.
  • Screen and direct phone calls and distribute correspondence.
  • Organize and maintain the department’s electronic filing system.
  • Use various software, including word processing, Building Engines, Yardi, Excel and presentation software, i.e. PowerPoint, to prepare reports and / or special projects
  • Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive's behalf.
  • Assist in promoting, focusing on and implementing the property management department’s annual goals.
  • Act as a point of contact among executives, property managers / employees, tenants, vendors, other external partners for Managing Director and Property Management related concerns.
  • Be part of the A / R collections team in tracking weekly A / R reports for all asset types.
  • Respond to requests via email, voicemail, and phone in a timely manner in clear calm communication.
  • Support the use of Building Engines – document, record, follow-up weekly with managers, close out work orders, etc.
  • Assist Managing Director in monitoring staff allocations to the properties.
  • Make recommendations to Managing Director regarding process change and solutions for department efficiency.
  • Maintain and update vendor lists, and tenant / vendor emergency contact lists.
  • Work with the Managing Director in updating and keeping the Property Management Policies and Procedures Manual current.
  • Coordinate between marketing and property management departments, all branding and other marketing incentives for property management functions and assets.
  • Order name plates for new hires.
  • Be liaison between Tishman Speyer and Davis.
  • Other related duties as assigned.

Property Management- Team Support

  • Work with and support the property managers and assistant property managers on implementing the assistant property manager job description responsibilities as directed by Managing Director.
  • Vendor management for Home Depot; reviewing and processing monthly statements.
  • YARDI responsibilities for managing invoices.
  • Manage and own the flow of vendor contracts.
  • Provide short-term coverage in the field for the property manager and assistant property manager functions, when required.
  • Executive Assistant – Chief Operating Officer

  • Manage all information with significant discretion and confidentiality due to the nature of the work of COO.
  • Calendar management – proactive calendar management with weekly 1 : 1’s with direct reports, C-group team members, and President and CEO & Founder.
  • Proactive calendar clearing of conflicts as they arise, jockeying schedule to fit everything in.
  • Completing monthly expense report.
  • Coordinating travel, conference attendance / signup and calendaring the same.
  • Meeting weekly to look 2 weeks again together on calendar to proactively manage issues ahead of time.
  • Coordinate the EC Meeting, including lunch order.
  • Tracking Monday Morning Tid-Bits.
  • Assisting with administrative tasks – formatting docs, printing, etc.
  • Update contacts in outlook as requested.
  • Make lunch reservations as needed.
  • Tracking memberships company wide.
  • Maintaining the office seating plan.
  • Maintaining org charts.
  • Other related duties as assigned.
  • Executive Services - Team Support

  • Weekly front desk duty, shared team responsibility during lunch time.
  • Share front desk coverage when Administrative Assistant is OOO.
  • Teamwork approach to help support each other as back up when Executive Assistants ’s are OOO.
  • Assist with tasks or projects that require additional support to keep our office functioning smoothly.
  • SKILLS & QUALIFICATIONS :

  • 8 – 10 years administrative experience, preferably 3 – 5 years in commercial real estate and at least 3 years supporting an Executive.
  • Bachelor’s degree in business or other related area preferred
  • Strong computer proficiency with Microsoft Office applications (Word, Excel, PowerPoint and Outlook).
  • Ability and willingness to become proficient with other applications, as needed.
  • Ability to communicate with tact and diplomacy at all levels of the organization.
  • Keen attention to detail and strong organizational skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple projects simultaneously
  • Self-motivated; excellent problem-solving skills; takes the initiative to anticipate problems and recommend solutions.
