Position Overview:We are seeking a highly organized and detail-oriented Office Manager with expertise in financial management, marketing, employee leadership, and administrative operations. The ideal candidate will play a crucial role in overseeing the day-to-day operations of our business, ensuring efficiency, accuracy, and a strong team dynamic.
Key Responsibilities:Financial Management:- Oversee daily financial operations, including invoicing, accounts receivable/payable.
- Manage and track budgets, ensuring financial accuracy and efficiency.
- Collaborate with the owners on financial planning and reporting.
- Work closely with vendors and suppliers to ensure cost-effective purchasing.
- Develop and implement marketing strategies to promote Day Violins’ services, events, and community initiatives.
- Contribute to branding and customer engagement efforts.
- Assist in planning and executing promotional events, workshops, and outreach programs.
- Supervise and support front desk area staff, ensuring a positive and productive work environment.
- Coordinate schedules with owners and ensure staff is informed and productive.
- Foster a culture of teamwork, accountability, and professional growth.
- Contribute to regular team meetings and encourage open communication.
- Maintain organized records, files, and databases related to business operations.
- Ensure compliance with company policies, industry standards, and legal regulations.
- Improve workflow processes and administrative efficiency.
- Greet customers and students and parents and assist with front desk operations when necessary.
- Proven experience in office management, administration, or a related role.
- Strong financial acumen with experience handling budgets, invoices and other necessary financials.
- Marketing expertise, including social media, branding, and promotional strategies.
- Excellent leadership and team-building skills, with a focus on employee development and morale.
- Exceptional organizational and multitasking abilities.
- Proficiency in office software (QuickBooks, Microsoft Office Suite, Google Workspace, etc.).
- Experience in a retail, music, or arts-related business is a plus.
