Position Objective/Summary
Handles the coordination of district payroll and other related functions including reports, balances, warrants, transfers, etc. Maintain the responsibility for personnel EMIS reporting. Serves as the primary contact for Accounts Payable. Assist the Treasurer with the preparing bank deposits and receipting funds.

Position Responsibilities
- Assists auditors by providing required statements and information.
- Assists in ordering department supplies and materials.
- Assists in the maintenance of the uniform filing system for all information and other pertinent data.
- Assists Treasurer in filing all employee contracts, make salary notices, and other requirements concerning payroll.
- Assists Treasurer to complete and file, at proper times, all forms, reports, papers, and other requirements as prescribed by the auditor, department of education, or other state or local agencies.
- Assists Treasurer with daily correspondence and filing, receiving and preserving all records concerning payroll.
- Balances school district income tax and send monthly deposits.
- Ensures payroll deductions are made each payroll.
- Ensures personnel computer database is accurate and up-to-date.
- Handles routine correspondence independently.
- Inputs information into, and retrieve information from computer.
- Interacts in a positive manner with staff, students, and parents.
- Maintains current copies of federal, state, county and city tax tables.
- Maintains district payroll files.
- Maintains personnel records and reports for payroll.
- Maintains proper communication and knowledge of services/program changes with ITC.
- Maintains respect at all times for confidential information, e.g., personnel records.
- Prepares all month-end and year-end reports concerning payroll.
- Prepares electronic direct deposits to bank.
- Prepares payroll deposits.
- Prepares yearly W-2, STRS, and SERS.
- Processes completed checks for distribution.
- Processes vendor invoices and appropriate warrants.
- Processes order request forms and purchase orders.
- Maintains vendor files.
- Assists Treasurer in fixed asset inventory.
- Processes post payroll and attendance information.
- Reports retirement contributions.
- Responsible for SERS and STRS employees’ forms and monthly reports.
- Responsible for setting up new employees on the computer.
- Responsible for payroll agency checks, annuity companies, health insurance, retirement, union dues, local, state, and federal taxes.
- Completes EMIS personnel submissions accurately and timely.
- Responsible for proper completion of EMIS personnel reporting.
- Reviews and checks for accuracy all EMIS personnel reports.
- Attends professional development meetings related to payroll and accounting functions.
- In the absence of the Treasurer, perform the duties necessary to the position/district.
- Monitors records for accuracy.
- Responds to routine questions and requests in an appropriate manner.
- Responsible for personnel related reports.
- Performs other work as assigned by the Treasurer and/or Superintendent.
- Occasional evening/weekend work as directed by the Treasurer.
- Five (5) to ten (10) years related financial experience.
- High school diploma with some college or past experience preferred.
- Ability to prioritize and meet deadlines.
- Excellent computer skills.
- Knowledge of payroll systems and accounting practices/procedures.
- Good organizational and problem solving skills.
- Ability to operate computer, calculator, printer, copy and fax machines, and telephone.
- Such alternatives to the above qualifications as the Treasurer and/or Board of Education may find appropriate.

- Employed on a twelve (12) month basis.
- Salary to be established by the Board of Education.
- Vacation and holidays as established by the Board of Education.
