Real Estate Title Insurance & Escrow Processor

About the Role
We are seeking a Title Insurance & Escrow Processor to join our team in Dayton, OH. In this role, you will facilitate real estate transactions by ensuring the accuracy and completeness of title documentation while delivering exceptional customer service. You will work closely with title examiners, underwriters, surveyors, attorneys, lenders, loan officers, and real estate agents to manage and process title orders from start to finish.

Key Responsibilities
Transaction Processing & Documentation
- Open new files, order title examinations, surveys, and legal documents
- Review and analyze title commitments, surveys, and legal descriptions
- Obtain and verify required documents (EMD money, authorization forms, lender orders)
- Clear title by ordering payoffs, HOA dues, and legal documents
- Prepare title commitments, reports, proformas, policies, and construction loan endorsements
- Draft and finalize closing documents, including settlement statements and preliminary figures
- Ensure compliance with real estate contracts, title requirements, company policies, and legal regulations
- Electronically record real estate documents with county recorders
Closing Coordination & Customer Service
- Schedule and coordinate closings with real estate agents, lenders, and all involved parties
- Balance closing figures with lenders, realtors, buyers, and sellers
- Conduct closings, ensuring all documents are accurate and complete
- Disburse escrow funds via checks or wire transfers
- Respond to inquiries from clients, lenders, attorneys, and real estate professionals
- Maintain strong relationships with attorneys, lenders, examiners, and realtors
Administrative & Office Support
- Answer incoming phone calls and assist clients
- Set up and maintain file organization for new transactions
- Support Escrow Officers with administrative tasks such as file management and ordering supplies
- Follow standard procedures and company policies to maintain service excellence
- Manage invoices (home warranties, repair fees, settlement statements, etc.)
- Maintain office appearance and supply inventory
Qualifications & Experience
β Minimum 1 year of experience as a Title Processor (4 years preferred in title insurance and/or loan processing)
β High school diploma required; secondary education is a plus
β Strong knowledge of real estate closing transactions and title insurance processes
β Understanding of real estate closing regulations, including TILA and relevant laws
β Familiarity with real estate documents, recordings, and document preparation
β Experience preparing title insurance commitments and closing statements
Technical Skills
- Proficiency in Microsoft Office, email programs, accounting software, and internet browsers
- Experience with Qualia is a Plus
- Strong computer skills for data entry, document preparation, and research
- Ability to perform complex calculations for balancing figures and closing statements
