Job Title: Administrative Assistant

Employer: Dayton SMART Elementary School

Available Position: Full Time

Reports To: Principal and District Level Administrators

Job Description: Provide a wide variety of complex and confidential administrative secretarial support and receptionist duties by communicating information to school district employees, students, parents and others as required. Assists in ensuring compliance is met and maintained based on established processes, standard operating procedures, best practices, and District Policy requirements that include the following areas: student records; attendance; inventory management; food service; transportation; building and facilities maintenance; purchasing; marketing and social media management.

Essential Functions

  • Answers the telephone to assist all callers by providing information, taking messages and managing the telephone system.
  • Greets all guests and provides a high level of customer service representing the school as the first person of contact.
  • Composes documents (e.g. correspondence, bulletins, reports) for the purpose of requesting or providing information, confirming events, etc..
  • Prepares, copies and distributes notices, memoranda or other correspondence for the purpose of informing school employees, students, parents, and others regarding activities, events or other work-related matters.
  • Assists in coordinating school activities and functional responsibilities related to school initiatives.
  • Attends operational, school, and other related meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.
  • Assists in maintaining the daily/weekly/monthly school compliance calendar for the purpose of coordinating the scheduling of progress monitoring, internal audits, and state audits.
  • Assists in planning and scheduling school events and activities and maintaining a calendar of school events.
  • Assists in maintaining documents, files, and records for the purpose of providing up-to- date reference and an audit trail for compliance.
  • Serves as the liaison with outside organizations related to school activities and work.

Additional Duties

Performs other related tasks as assigned by the Principal and other District Level Administrators as designated by the Superintendent.

Equipment

Uses standard office equipment such as desktop and/or laptop computers, printer, copy machines, and telephone.

Knowledge, Skills and Abilities

  • Fluent in English and Spanish both written and oral.
  • Ability to communicate effectively and efficiently.
  • Ability to manage multiple tasks and projects at the same time.
  • Ability to describe problems and work orally or in writing to the supervisor as required.
  • Ability to establish and maintain professional cooperative working relationships with others contacted during the course of work with a diverse group of individuals
  • Ability to carry out instructions furnished in written or oral form.
  • Ability to add, subtract, multiply and divide, and perform arithmetic operations as needed for position.
  • Ability to understand, apply and use a desktop or laptop computer and software applications within the Microsoft Office Suite (e.g. Word, Excel, PowerPoint, etc.);

Google Docs; Electronic Mail, etc.

  • Ability to problem solve job-related issues.
  • Ability to work with a diverse group of individuals.
  • Ability to process paperwork accurately according to standardized procedures.
  • Ability to maintain confidentiality of information regarding students, employees and others.
  • Organizational and time management skills.
  • Knowledge of office management procedures.
  • Ability to learn and follow established processes, procedures, laws and regulations,

District Policies and Procedures, ethical principles, guidelines, and best practices related to the school (e.g., Student Services, Human Resources, Operations, Building and Facilities.)

  • Ability to provide basic first aid functions (e.g. dispense medication, clean cuts, take temperatures, etc.)
  • Experience working in a school office is a plus.

Physical and Mental Demands, Work Hazards

  • Works in a standard office and school building environment.
  • Ability to work outdoors during outdoor school events and activities.

Job Type: Full-time

Pay: From $16.00 per hour

Expected hours: 40 per week
