Executive Assistant

Support the leader of our dynamic, female-owned CPA firm in an administrative role that goes beyond the typical desk job. In our fast-paced, ever-evolving environment, no two days are the same—offering a diverse range of responsibilities and opportunities for growth. Hours : Approximately 30 hours / week

Job Summary :

Provide administrative support to the leader of our growing, female owned, CPA Firm. This fast-paced, never boring environment has a wide variety of responsibilities and opportunities for growth. If you’ve worked in an office but would like something more than just reception duties, this may be for you.

Duties / Responsibilities :

  • Provides high-level administrative support and assistance to the Executive Department Director and / or other assigned leadership staff.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Manage executive calendars including scheduling meetings, appointments, and travel arrangements.
  • Handle income and outgoing communications including emails, phone calls, and mail.
  • Prepare and edit correspondence, reports, meeting notes, presentations, and other documents.
  • Communicate with clients through various methods to answer questions, coordinate meetings, and update records.
  • Develop in-depth understanding of all software used in our tech-heavy environment.
  • Assist in planning, executing, and monitoring projects and initiatives for the firm.
  • Coordinate with various teams and departments to ensure timely completion of projects.
  • Track project progress, identify potential issues, and communicate updates to the executive team.
  • Assist with financial reporting, dashboards, and KPIs
  • Ensure the utmost confidentiality of each client and employee by following all company procedures regarding information handling.
  • Performs additional duties as assigned by executives.
  • Performs other related duties as assigned.

Required Skills / Abilities :

  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Intermediate or advanced computer skills with the ability to learn / utilize several industry specific software required to perform job responsibilities.
  • Extremely proficient with Microsoft Office Suite.
  • Education and Experience :

  • High school diploma required; Bachelor’s degree in Business Administration or related field preferred.
  • At least three years of administration or customer service experience required.
  • Experience in working with a Customer Relationship Management (CRM) tool preferred.
  • Physical Requirements :

  • Prolonged periods sitting at a desk and working on a computer.
