Job Summary:
We are seeking a detail-oriented and highly organized Medical Records Coordinator/Legal Assistant to join our reputable personal injury law firm in Beverly Hills. This role is crucial to supporting the firm's attorneys by managing and coordinating the collection, organization, and review of medical records, ensuring that all necessary documentation is available to strengthen client cases. The ideal candidate will have experience in both medical records management and legal support, with a strong commitment to confidentiality, accuracy, and efficiency.
Responsibilities:
Medical Records Management
- Request, track, and follow up on medical records, bills, and other relevant documentation from hospitals, healthcare providers and facilities.
- Review and organize medical records for completeness and accuracy, ensuring compliance with legal requirements.
- Maintain detailed records and logs of all requests and correspondence with healthcare providers.
- Prepare medical summaries and chronologies as needed to assist attorneys in case preparation.
Legal Support
- Assist attorneys with case management tasks, including case file organization and documentation.
- Calendering events
- Assist staff with day to day activities.
- Conduct client intake interviews to collect medical history and other pertinent information.
- Communicate with clients, healthcare providers, insurance companies, and other law firms regarding case status.
- Prepare and organize case files, legal documents, correspondence, and reports for court submission.
- Administrative Duties
- Answer phones, schedule appointments, and maintain case calendars.
- Handle incoming mail, faxes, and correspondence related to medical records and case status.
- Subpoenaing records
- Maintain confidentiality and comply with HIPAA and other privacy regulations.
Qualifications:
- Experience: 2 years in a similar role within a law firm , ideally in personal injury law.
- Education: Associate’s degree or certification in legal studies, health information management, or related field preferred.
Skills:
- Strong organizational skills with attention to detail.
- Proficiency in case management software and medical records databases.
- Excellent written and verbal communication skills.
- Ability to handle sensitive information with discretion and confidentiality.
- Knowledge: Understanding of HIPAA regulations, personal injury law, and medical terminology.
