Are you a highly organized, proactive professional looking to support a dynamic engineering team? DCI Engineers is seeking an Office Manager for our Seattle location to help drive our company’s vision by ensuring smooth office operations and providing administrative and project support.
As an Office Manager, you will be responsible for maintaining an efficient and welcoming workplace while supporting corporate departments and engineering and design teams. From overseeing office logistics and vendor coordination to assisting with onboarding and event planning, you’ll play a crucial role in keeping our team running smoothly.
Key Responsibilities:
- Open and close the office daily (8 AM – 5 PM).
- Serve as the first point of contact, greeting visitors and answering calls.
- Provide administrative support such as document management, proofreading, and invoice processing.
- Assist engineers with printing, copying, and organizing project files including downloading and properly filing documents.
- Support Project Managers with invoice filing, collections, expenses, and budget tracking.
- Manage office supply inventory, vendor relationships, and service scheduling.
- Assist with new hire onboarding in coordination with HR and IT.
- Manage office transit options.
- Plan and execute office events, including employee recognition.
- Handle mail, shipping, and office cleanliness.
- Arrange travel for staff as requested.
Requirements:
- Prior office management experience; 5 years preferred
- Professional demeanor and ability to represent the company.
- Proficiency in MS Office Suite, Bluebeam and general office technology.
- Basic understanding of accounting and invoicing principles/procedures.
- Familiarity or prior experience with Deltek Vantagepoint CRM or other construction project management software preferred.
- Excellent writing and editing skills.
- Ability to anticipate office staff needs, resolve problems and self-prioritize.
- Detail-oriented with the ability to handle sensitive and confidential information.
- Superior organization and time management skills with the ability to self-prioritize tasks.
