We are seeking administrative assistance to support our accounting and administrative activities. Our culture is built upon developing long-term relationships with all of our clients, subs, vendors, and employees, so interested candidates should be team oriented and looking for a long-term role.

A successful Administrative Assistant at DD Ford enjoys proactively finding ways to support the different departments with their distinct responsibilities within the team and is chiefly responsible for creating a highly organized and enjoyable environment for maximum productivity and relationship opportunities within the DD Ford office.

Administrative Assistant Summary of Responsibilities

  • Manages the appearance, organization, and functionality of the office for efficiency, environment, and first impressions
  • Manages phone system and auto-receptionist and facilitate calls as operator when necessary
  • Supports Superintendents, Project Managers, and Home Maintenance team with research, purchasing, and facilitating their onsite project needs.
  • Supports Human Resources Manager with special projects
  • Provides support to accounting with the accounts payable and accounts receivable cycle by recording incoming payments and reviewing employee reimbursement requests for completion
  • Procures and maintains our database of certificates of subcontractor insurance and license information.
  • Supports Safety by managing the completion and recording of site safety meetings.
  • Supports companies' IT function by acting as a liaison with our 3rd party IT vendor, managing mobile devices & Verizon account, and assists employees with password resets
  • Maintains office equipment and supply inventory
  • Manages office maintenance interior cleaning, organization, and exterior landscape and security.
  • Purchases weekly groceries and orders staff meals for meetings and events
  • Organizes and plans company events with Admin team and partners.

Anticipated hiring range: $27-$32 per hour
Salary range: $24 - $36 per hour

Job Type: Full-time

Pay: $24.00 - $32.00 per hour
