The Project Coordinator is responsible for assisting in driving the day-to-day needs of assigned construction projects and providing support to the project team.
Responsibilities:
- Assisting in driving the day-to-day needs of assigned construction projects.
- Providing support to the project team, including project managers, site managers, accounting, and operations.
- Assisting in establishing the bid list, including invitations, subcontractor calls, submission documents, bid forms, ordering plans, subcontractor qualifications, and other questions.
- Documenting and controlling all Project Drawings.
- Maintaining all Building Connected data to be loaded timely and accurately.
- Generating, processing, and tracking project-related documentation as required, including owner contracts, proposals, LOI’s, subcontracts, purchase orders, etc.
- Maintaining and managing a subcontractor/vendor log, material log, Request for Information logs, and equipment delivery and return schedule for projects.
- Obtaining, distributing, and processing all shop drawings, logs, and approvals to architects and others as required.
- Being aware of all addendums coming out and distributing them.
- Assisting Project Manager with all Requests for Information, generating Subcontractor and Owner Change Orders, and coordinating all with accounting.
- Assisting with the verification of the project safety program from subcontractors.
- Assisting with documentation of Dean Build’s safety program.
- Following up on outstanding documents, including subcontracts, contract-related documents, and other correspondence to be incorporated into the files.
- Organizing and maintaining the project filing system, including correspondence and all other records, both electronically and paper files.
- Communicating with bidders to ensure quotes are obtained, etc.
- Ensuring that all Builder’s Risk documentation is in place, including assurance that all insurances are in place.
- Ensuring that all Field Operations are provided as needed and set up in Procore timely and accurately.
- Inputting Cost Codes as required within ComputerEase.
- Assisting Site Managers in job set-up and weekly job-site meetings.
- Obtaining close-out documentation, warranties, and Operations and Maintenance manuals.
- Performing other duties as assigned by the Project Managers.
Measurable Key Performance Indicators for Job Success
- Assembling and maintaining complete project records, subcontractor buyouts, and closeout documents, including operations manual and warranties within 30 days of project completion.
- Logging set-ups within 10 days after signing all contracts.
- Completing all project (owner and/or subcontractor) change orders by the 25th of each month in accordance with the accounting calendar.
- Submitting all Subcontractor Billings by the 25th of each month, as per the accounting calendar.
- Performing actual milestone dates to agreed scheduled dates.
- Communicating key milestone information to the leadership team within 24 hours.
Requirements:
- Minimum 2 years’ experience working in a fast-paced, industry-relevant field such as building systems or construction a must.
- In-depth knowledge of OSHA guidelines, equipment and construction procedures.
- Experience working with Procore (project management software) a plus.
- Must be computer proficient, PC, Microsoft Office, MS Project.
- Excellent communication skills. Able to interact with all levels being served.
Physical Requirements:
Employees must be able to function well with regard to the following:
- Uncontrolled environmental conditions.
- Constant change in weather and site conditions.
- Occasionally lifting up to 75 lbs., routinely lifting 50 lbs.
- Climbing, balancing, stooping, kneeling, crouching, crawling, bending, twisting, pushing, pulling, seeing and reading and reaching to perform everyday job tasks.
Travel is required, but in most cases does not involve overnight stays.
