ABOUT THIS POSITION:

We are seeking an experienced Event Producer to support the planning, coordination, and execution of all live experiential events for Dear Media. This individual will lead vendor relations, assist with show management, and work closely with the Head of Experiential Events to execute the full live events calendar. The ideal candidate will be a proactive, detail-oriented, and collaborative team player who thrives in a fast-paced, creative environment.


Key Responsibilities

Event Planning & Execution

  • Collaborate with the Head of Experiential Events to plan and execute the full live events calendar, ensuring events align with overall company objectives.
  • Assist in managing timelines, milestones, and deliverables for each event.
  • Monitor event setup to ensure all technical and creative elements are executed according to plan.

Vendor Relations & Management

  • Source and vet vendors (AV, floral, catering, staffing,fabrication) and obtain quotes.
  • Serve as the primary point of contact for all vendors, suppliers, and contractors throughout event planning and execution phases.
  • Manage event insurance needs, including Certificates of Insurance (COIs) from partners and vendors.

On-Site Event Execution

Travel required to event locations to oversee event setup, operation, and breakdown.

  • Ensure smooth execution of all logistics on event day, troubleshoot issues, and make real-time adjustments as needed.
  • Manage all aspects of event day, including calling the show, assisting in managing schedules, and coordinating with all teams to ensure seamless execution.

Design & Creative Support

  • Design and create renderings for event layouts and setups.
  • Work closely with the Brand Partnerships team to ensure creative elements are within budget and meet brand expectations and goals.


Qualifications:

  • Budget Management: Proven ability to manage and track large budgets across multiple events simultaneously. Skilled in overseeing budget changes and handling requests for additional funding from various departments.
  • Organizational Skills: Exceptional organizational and project management skills with a strong attention to detail.
  • Problem-Solving & Logistics: Ability to think on your feet and resolve logistical challenges with creative, effective solutions.
  • Team Collaboration: Strong interpersonal skills to foster positive team dynamics and ensure seamless collaboration. Must be able to integrate smoothly into team culture.
  • Vendor Relations & Negotiation: Skilled in negotiating favorable terms with vendors and suppliers to achieve optimal value and outcomes.


Experience:

  • 3 years of experience in event production, preferably in the media, entertainment, or marketing industries.
  • Experience managing events of varying scales, from small gatherings to large productions, across different locations nationwide.


Technical Skills:

  • Proficiency in event management software and tools.
  • Familiarity with Google Docs and Dropbox.
  • Experience with floor plans, CAD drawings, and specifications.
  • Communication: Excellent written and verbal communication skills, including professional email proficiency.
  • Self-Motivated: Ability to work independently, take initiative, and manage multiple projects simultaneously.
