Summary
Supports the Accounting Coordinator in compiling, classifying, verifying, recording, and maintaining data and payments to accounts payable and accounts receivable by performing the following duties.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Monitor and maintain the Dearing accounting e-mail inbox.
- Audit supplier invoices against purchase order and research discrepancies.
- Process supplier payable invoices in Dearing’s accounting system and document management system.
- Verify open items on vendor statements and related follow up.
- Prepare accounts payable checks with the appropriate remittance document.
- Process customer credit card payments.
- Create customer invoices from the invoice queue job and send via mail, email or portal.
- Record and process Dearing invoices via the customer’s online portal as required.
- Prepare receipts and payments for deposit and post receipts in Dearing’s accounting system and document management system.
- Monitor accounts payable and receivable to ensure payments are accurate and timely.
- Investigate problems with vendors and customers.
- Review and report on labor weekly.
- Prepare job costing summaries.
- Assist in monthly and annual closings.
- Compile information necessary for job closings.
- Assist the department with general offices duties such as organization, spreadsheet maintenance and project work.
- Assist with special projects, as required.
- Back-up reception, covering phones and duties as needed.
Qualifications
- Minimum of an Associates degree or 2 years related experience and/or training.
- Ability to read, write, and comprehend simple instructions, short correspondence and memos.
- Ability to present information in one-on-one meetings and group settings to customers, clients, and other employees
- Ability to do simple math, and compute rate, ratio, and percentages.
- Preferred knowledge of Microsoft office products; word and excel, and ERP systems.
- Ability to pass a drug test
