We are looking for a detail-oriented and organized Back Office Admin to support the operational activities of our business. The Back Office Admin will be responsible for handling various administrative tasks, ensuring smooth day-to-day operations, and providing critical support to front-line staff. This role requires a proactive individual with excellent communication and organizational skills to ensure all processes are completed efficiently.

Key Responsibilities:

  • Perform general administrative tasks including data entry, document management, and filing.
  • Maintain and update records, databases, and files accurately.
  • Coordinate and process internal communications, including emails and memos.
  • Assist in the preparation of reports, presentations, and other documentation as needed.
  • Handle basic office tasks such as managing office supplies, equipment maintenance, and scheduling meetings.
  • Assist in the preparation and processing of invoices, purchase orders, and other financial documents.
  • Work closely with other departments to support workflow and ensure smooth operations.
  • Answer inquiries from customers, suppliers, and employees in a professional and timely manner.
  • Assist with organizing and managing internal meetings and events.
  • Maintain office systems and processes to ensure efficiency and compliance with company standards.
  • Assist in special projects and other tasks as assigned by management.

Required Skills & Qualifications:

  • High school diploma or equivalent (Associate’s degree or higher preferred).
  • Proven experience as a Back Office Admin, Office Assistant, or similar role.
  • Strong proficiency with office software (Microsoft Office, Google Suite, etc.).
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks simultaneously and meet deadlines.
  • Strong written and verbal communication skills.
  • Good problem-solving abilities and proactive in resolving issues.
  • Ability to work independently as well as part of a team.
  • Familiarity with office equipment and office management procedures.

Preferred Qualifications:

  • Previous experience in a similar administrative support role within [specific industry, if applicable].
  • Experience with accounting software or ERP systems is a plus.
  • Knowledge of basic bookkeeping or financial processes.
  • Familiarity with customer service practices and communication.

Job Type: Full-time

Pay: $18.00 - $22.00 per hour

Expected hours: 40 per week

Schedule:

  • 8 hour shift
  • Monday to Friday
