About the Role


We are seeking an experienced and detail-oriented Office Coordinator to join our team at Deep Blue. As an Office Coordinator, you will be responsible for providing administrative support, managing office operations, and delivering exceptional customer service.



Main Responsibilities



  • Coordinating office activities, including meeting organization and correspondence management.

  • Managing front desk duties, such as visitor parking and guest greetings.

  • Maintaining office supplies, equipment, and conference room schedules.

  • Planning and executing office events, meetings, and conferences.

  • Drafting and editing office documents and reports.

  • Processing invoices and tracking office budgets.

  • Scheduling appointments, arranging travel, and coordinating projects for the Executive team.

  • Providing outstanding customer service and resolving administrative issues.

  • Maintaining accurate records and procuring office supplies.

  • Preparing the office for onboarding and offboarding employees.

  • Coordinating office moves, onboarding, and offboarding.

  • Managing onsite health, safety, and security initiatives.

  • Serving as the primary point of contact with building landlords and engineering staff.

  • Managing relationships with third-party vendors.

  • Assisting with office buildouts/expansions.

  • Providing executive assistance and administrative support.

  • Offering backup coverage to the Office Coordinator in the Midland office.
